Full Job Description

We are looking for a versatile, dependable self-starter to manage the day-to-day financial and operational needs across our businesses. This is not a strictly administrative role. You will wear many hats — from bookkeeping and invoicing to guest communication and general organization — keeping multiple ventures running smoothly. The ideal candidate takes initiative, anticipates needs, works well independently, and is comfortable shifting between varied tasks.

This is a flexible, part-time position of approximately 20 hours per week with no weekend work required.

Key Responsibilities

Bookkeeping & Finance

Record and categorize income and expenses across multiple businesses in Xero
Create, send, and track invoices; follow up on outstanding payments
Process accounts payable and accounts receivable
Reconcile bank and credit card accounts
Organize financial documentation and assist with reporting and tax preparation

Guest & Business Communication

Assist with guest communication for the hotels and kayak rental (inquiries, reservations, follow-ups) as needed
Coordinate with vendors, contractors, and team members
Help manage email and follow up on action items

Office Management & Organization

Maintain organized digital filing systems and business records across entities
Handle data entry, recordkeeping, and document management
Schedule and coordinate meetings, appointments, and calendars
Support a wide variety of operational projects and ad hoc tasks as they arise

Qualifications

Self-starter who takes initiative and works well independently
Proficiency with Xero is required
Prior bookkeeping experience required; administrative or office management experience a plus
Comfortable with Microsoft 365 / Google Workspace
Strong organizational skills and attention to detail
Reliable and discreet handling confidential financial information
Clear, professional written and verbal communication
Adaptable and comfortable juggling diverse responsibilities across multiple businesses

Nice to Have

Experience in hospitality, small business, or multi-entity operations
Familiarity with hotel/reservation or property management software

Pay: $23.97 - $28.86 per hour
