About Us

Professional Cleaning Systems (PCS) has been proudly delivering high-quality commercial janitorial services throughout the Bay Area for many years. We are a growing, well-established company known for reliability, responsiveness, and strong client relationships.

We are seeking a highly organized, dependable, and proactive Operations Coordinator who thrives in a fast-paced environment and takes pride in keeping daily operations running smoothly. This is a key role within our company—ideal for someone who enjoys problem-solving, working with people, and making a real impact every day.

Position Summary

The Operations Coordinator is central to the success of our field operations. This role is responsible for coordinating staff schedules, supporting field teams, communicating with customers, and supporting HR and Finance Department.

The ideal candidate possesses excellent interpersonal and communication skills, strong computer skills, and is able to represent our firm in a highly professional manner. This individual is highly organized, quick-thinking, and confident managing multiple priorities at once. The candidate selected will have the opportunity to learn various areas of the business and grow within the company, depending on their individual strengths.

Responsibilities

Coordinate and adjust daily schedules for janitorial staff to ensure full coverage of all job sites
Dispatch employees to customer locations as needed and respond to last-minute changes
Communicate regularly with field technicians, supervisors, and clients to ensure smooth operations
Assist with recruiting, interviewing, onboarding, and maintaining employee documentation
Maintain accurate personnel files and ensure compliance with company policies and procedures
Track employee attendance, time records, and schedule updates
Coordinate supply and equipment deliveries to job sites as needed
Assist with payroll preparation and administrative reporting
Respond quickly and professionally to customer requests, concerns, and service issues
Maintain accurate records using Microsoft Office and company systems/software
Support the Operations Manager with special projects and day-to-day administrative tasks

Qualifications

3–5+ years of experience in operations, scheduling, dispatch, logistics, HR, or office management
Strong computer skills with proficiency in MS Word, Excel, PowerPoint, FileMaker.
B.A. degree required.
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
Excellent communication and customer service skills
Ability to work independently and make sound decisions
Proficiency in Microsoft Outlook, Excel, Word, and Teams
Experience with scheduling or dispatch software is a plus
Bilingual English/Spanish required
High attention to detail and strong follow-through
Professional, dependable, and positive attitude
