Position Summary
Hounen Solar is seeking a highly organized and service-oriented Office Administrator to support the day-to-day administrative operations of our manufacturing facility. This role will oversee employee housing, company vehicles, travel arrangements, international visitor support, office administration, catering coordination, and employee engagement activities. The Office Administrator plays a critical role in creating a positive employee experience while supporting the operational needs of a fast-growing manufacturing organization.
Key Responsibilities
Housing & Accommodation Management
- Oversee on-site dormitory operations, including room assignments, maintenance coordination, inventory, and resident support
- Manage house leasing for expatriates and key employees, including contract negotiations, renewals, and landlord communications
- Ensure housing facilities meet safety, cleanliness, and comfort standards
Transportation & Fleet Management
- Manage company vehicles (scheduling, maintenance, fueling, registration, and compliance)
- Coordinate transportation for international visitors, new hires, and employees (airport pickups, shuttles, etc.)
- Maintain accurate vehicle logs and records
Travel, Expense & Visitor Support
- Arrange domestic and international travel, visas, hotel bookings, and itineraries
- Reconcile credit card statements, travel expenses, and vendor invoices
- Provide on-site support for international visitors and expatriates
Catering & Employee Activities
- Coordinate daily catering services, cafeteria operations, and special event meals
- Plan and organize employee engagement activities, team-building events, holiday celebrations, and community outings
- Support wellness and cultural integration programs for a diverse workforce
Front Desk & Administrative Support
- Serve as the primary front-desk point of contact, greeting visitors, managing access, and handling inquiries
- Perform general administrative duties including mail distribution, office supply management, document preparation, and filing
- Support HR and plant leadership with meeting coordination, event logistics, and special projects
Compliance & Reporting
- Maintain accurate records for housing, fleet, travel, and expenses
- Ensure all activities comply with company policies, safety standards, and applicable regulations
- Prepare monthly reports on housing occupancy, vehicle usage, and activity participation
Required Qualifications
- Associate’s or Bachelor’s degree in Business Administration, Hospitality, or related field (or 1+ years of relevant experience)
- Proven experience in office administration, facilities/housing management, or employee services
- Strong organizational and multitasking skills with high attention to detail
- Excellent customer service and interpersonal skills, especially with international and diverse populations
- Bi-lingual (English/Chinese) strongly preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn new systems
- Valid driver’s license with a clean driving record
Preferred Qualifications
- Experience supporting international assignees, expatriates, or manufacturing start-up environments
- Background in hospitality, corporate housing, fleet management, or event coordination
- Familiarity with travel booking systems and expense management tools
- Previous experience in a manufacturing or industrial setting
Work Environment
- On-site role at the Orangeburg manufacturing facility with frequent movement between office, dormitory, and production areas
- Fast-paced, start-up environment requiring flexibility and occasional weekend/evening support for events or visitor arrivals
- Direct interaction with employees, international visitors, and leadership
Pay: $40,000.00 - $50,000.00 per year
