Call Receptionist & Lead Appointment Setter

RB Performance Garage is looking for a dependable, organized, and highly efficient Call Receptionist and Lead Appointment Setter to join our growing team.

This position will focus on contacting incoming leads and making the first point of contact with customers who have inquired about our services. The primary goal is to turn qualified inquiries into scheduled appointments while beginning a professional relationship between the customer and RB Performance Garage.

The person in this role will gather all necessary customer and vehicle information, organize it into a complete lead data sheet, and prepare the information for one of our closers or service advisors to continue the process.

This is not a traditional sales position. You will not be responsible for closing deals, negotiating prices, or pressuring customers into making purchases. However, applicants should understand the responsibilities and communication style of a professional appointment setter.

Primary Responsibilities

Contact new leads and inquiring customers by phone, text, or other approved communication methods
Make professional and welcoming first-contact calls
Gather complete customer, vehicle, service, modification, budget, and scheduling information
Organize all collected information into an accurate lead data sheet
Schedule qualified customers for appointments or consultations
Prepare leads for transfer to a closer, service advisor, or specialist
Begin building a positive and professional customer relationship
Perform weekly or monthly follow-ups with existing and previous customers
Maintain organized notes, records, and follow-up schedules
Communicate customer needs clearly to the appropriate team member
Follow RB Performance Garage communication procedures and customer service standards

Preferred Qualifications

Previous experience as an appointment setter, receptionist, call center representative, customer service representative, or lead coordinator
Strong phone communication and active-listening skills
Ability to gather detailed information without confusing or overwhelming the customer
Strong organization, note-taking, and data-entry abilities
Ability to communicate professionally and efficiently
Dependable follow-up habits
Comfortable working independently and managing multiple leads
Experience working with customer relationship management systems, spreadsheets, or lead-tracking software
Automotive knowledge is strongly preferred
Previous experience working for an automotive repair shop, performance shop, dealership, parts company, or similar business is highly preferred

Compensation and Opportunities

Pay will be based on experience, skill level, reliability, and overall performance.

Performance bonuses are available once established criteria and appointment-setting goals are met. Applicants who consistently exceed expectations, maintain strong customer communication, and produce high-quality appointments may be considered for additional pay increases and future opportunities within the company.
