Job Summary: The Office Manager / Staff Accountant will play a key role in maintaining efficient office operations while handling basic accounting functions. This position requires a proactive, detail-oriented individual who can multitask in a growing business. You'll manage day-to-day administrative tasks, support project teams, and perform bookkeeping to keep our finances on track. This is a full-time, hybrid/on-site role in Sarasota, FL, offering opportunities for growth as the company expands.
Key Responsibilities:
Oversee daily office operations, including managing schedules, coordinating meetings, and handling incoming calls and correspondence.
Maintain office supplies, equipment, and facilities to ensure a productive work environment.
Assist with HR tasks such as onboarding new employees, maintaining personnel files, and coordinating benefits administration.
Perform light accounting duties, including invoicing clients, processing accounts payable/receivable, and reconciling bank statements using software like QuickBooks.
Prepare basic financial reports, track expenses related to marine projects (e.g., materials, permits, and vendor payments), and assist with budget monitoring.
Support project managers by organizing documentation for permits, contracts, and compliance with local regulations in Sarasota and surrounding areas.
Handle vendor relationships, including negotiating with suppliers for construction materials and services.
Provide administrative support for sales and marketing efforts, such as preparing proposals and tracking leads.
Ensure compliance with safety protocols and industry standards specific to marine construction.
Adapt to the needs of a rapidly growing company by implementing process improvements and scaling administrative systems as needed.
Qualifications and Requirements:
Proven experience (2+ years) in office management, administrative support, or a similar role; experience in construction or marine industries is a plus.
Basic accounting knowledge with hands-on experience in bookkeeping, invoicing, and financial software (e.g., QuickBooks or equivalent).
Associate's or Bachelor's degree in Business Administration, Accounting, or a related field preferred but not required.
Strong organizational and multitasking skills, with the ability to thrive in a fast-paced, growth-oriented environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with project management tools.
Excellent communication skills, both written and verbal, for interacting with team members, clients, and vendors.
Knowledge of local Sarasota regulations, permitting processes, or marine construction terminology is advantageous but not required and can be learned.
Ability to work independently, solve problems proactively, and maintain confidentiality with sensitive financial information.
Must be authorized to work in the U.S. and pass a background check.
