Our rapidly growing window treatment company needs a resourceful Project Coordinator to serve as the operational hub of the business, coordinating projects, supporting clients and design partners, managing administrative processes, and ensuring every project moves smoothly through our workflow. The right will need strong communication skills, the ability to work independently and enjoys working with interior design. Attention to detail, the desire to be a team player, and a willingness to work in a fast-paced environment are key.
Description
Your role will be support the department manager to execute and coordinate luxury window treatment projects. The position requires a highly organized, detail-oriented person to help deliver an exceptional luxury client experience from the first inquiry through project completion. You will also be interacting with other trades on the project, some of which include Interior Designers, Installers, Electrical, HVAC, Lighting, Landscaping, and General Contractors.

Responsibilities
Project Coordination
· Manage projects from signed proposal through final installation
· Schedule consultations, measurements, installations, and service appointments
· Coordinate with installers, vendors, manufacturers, and subcontractors
· Track project milestones and proactively communicate schedule updates
· Ensure all project documentation is complete and organized
· Assist in resolving scheduling conflicts and project issues
Client Experience
· Work diligently and persistently to develop a book of business
· Reach out to prospects and turn those prospects into customers
· Visit potential clients to evaluate needs and promote products and services
- Deliver a concierge-level customer experience
- Follow up after installations to ensure complete client satisfaction
Sales & CRM Administration
· Enter and maintain client information in the CRM
· Track incoming leads and referral sources
· Monitor proposal status and follow-up activities
· Assist in preparing proposals and project documentation
· Support the CEO with scheduling and administrative tasks
Financial Administration
· Prepare invoices and collect deposits and final payments
· Track purchase orders and vendor invoices
· Monitor accounts receivable
· Assist with project budgeting and cost tracking
· Coordinate vendor payments and maintain organized financial records
Marketing & Business Development Support
· Coordinate social media scheduling and content
· Assist with newsletters and email campaigns
· Request online reviews from satisfied clients
· Coordinate project photography
· Help organize Lunch & Learns, networking events, and trade partner meetings
· Maintain relationships with interior designers, builders, and architects through regular communication
Business Operations
· Maintain digital project files and office organization
· Track inventory of samples and marketing materials
· Update project management software
· Prepare weekly KPI and project status reports
· Recommend workflow improvements and operational efficiencies
Qualifications
Skills Required
· Excellent organizational and time management skills
· Strong written and verbal communication
· Exceptional customer service skills
· Proficiency with Microsoft Office and Google Workspace
· Ability to manage multiple projects simultaneously
· Professional demeanor with luxury clientele
· Strong attention to detail
Preferred
· Experience in interior design, construction, window treatments, or luxury home services
· CRM experience (Zoho CRM preferred)
· Familiarity with QuickBooks
· Experience coordinating vendors and project schedules
· Marketing or social media experience
