IBI Inc is a well-established apartment renovations contractor with divisions across multiple locations. We are dedicated to delivering high-quality renovation services and fostering a dynamic, team-oriented environment.

Description:

Reports to the Operations Manager. The Project Coordinator provides administrative, field, and project support across active construction projects and serves as a key point of coordination between the office and field teams. This role includes project documentation, permit tracking, jobsite coordination, and collaboration with Safety, Administration, and Accounting to support continual improvement of company systems. This position is ideal for someone seeking to grow into a Project Management or Operations Management role while gaining hands-on experience in both field and office environments.

Essential Duties & Responsibilities:

Overall General Responsibilities:

Exhibit good judgment, high ethical standards, excellent verbal and written communication skills, and a professional, service-oriented demeanor.
Support team members in achieving the Company's vision, mission, core values, profit goals, and performance objectives.
Support the full project lifecycle, from pre-contract activities through warranty completion.
Monitor and maintain organized project files, documentation, and server/digital folder structure.
Develop and maintain positive working relationships with clients, subcontractors, suppliers, and company team members.

Field & Project Coordination:

Support Project Managers, Superintendents, and Operations leadership with daily project coordination.
Prepare and organize job packets, construction plans, permit documentation, and related project materials.
Assist with site logistics, including dumpster scheduling and vendor coordination.
Oversee PPE ordering and inventory for field teams.
Support multiple projects across assigned regions.

Purchasing & Administrative Support:

Enter purchase orders and track company card transactions.
Organize receipts and construction cost documentation.
Maintain purchasing records by project.

Scheduling & Office Coordination:

Assist with project scheduling and updates (Buildertrend).
Assist with field time tracking (ClockShark).
Assist with HR employee paperwork, I-9 document review, new hire onboarding, and training completion tracking.
Schedule meetings, manage meeting logistics, take notes, and distribute action items.
Track assignments, requests, and internal deadlines.

Permits, Systems & Data Management:

Update permit tracking logs and inspection status records based on information provided by Operations or Project Management.
Maintain Smartsheet project tracking tools and workflows.
Update internal databases and operational reports.

Skills, Knowledge, and Abilities:

Basic understanding of construction processes, or a strong interest in learning; 3+ years of administrative, office coordination, or operational support experience preferred.
Strong organizational and time management skills, with the ability to remain calm and effective in a fast-paced environment with changing deadlines.
Professional written and verbal communication skills.
Proficiency in Microsoft Office (Word, Excel, Outlook); preferred experience with Buildertrend, Smartsheet, and ClockShark.
Ability to manage multiple priorities, focus on solution-based results, and respond professionally to client, team member, and vendor concerns.
Willingness and ability to travel locally to job sites; reliable and punctual.
Comfortable handling confidential information with discretion.
Spanish fluency preferred.

Work Environment and Physical Demands:

This position will split time between an office environment and construction job sites. Physical demands include, but are not limited to, sitting for extended periods, standing, balancing, stooping, kneeling, crouching, climbing steps or ladders, driving, reading, typing, talking on the phone, and lifting or moving objects up to 20 pounds. During jobsite visits, the role may involve exposure to uneven terrain, weather conditions, moving mechanical components and equipment, fumes or airborne particles, heights, confined spaces, low light, and moderate to loud noise.
