Full Job Description

Accounts Receivable Administrator - Alpha General Services, Sebring FL

Alpha General Services is seeking an organized, resourceful, and proactive Accounts Receivable Administrator. This position is primarily responsible for invoicing, cash application, collections, credit administration, and customer account maintenance.

The role also supports order processing, shipping coordination, regulatory documentation, customer service, and limited inside sales activities. The successful candidate will take ownership of responsibilities, anticipate needs, independently resolve routine issues, and follow tasks through completion.

Order Management and Customer Service

Enter and process quotes, sales orders, invoices, and delivery paperwork.
Confirm pricing, terms, product requirements, and delivery information.
Process credit cards and applicable fees.
Respond resourcefully to customers by phone, email, and in person.
Coordinate with sales, production, shipping, and accounting to resolve order issues.
Anticipate customer needs and follow open matters through completion

Accounts Receivable and Collections

Prepare invoices and customer statements.
Apply checks, credit cards, prepayments, and other customer payments.
Proactively monitor aging and follow up on past-due balances.
Research and resolve payment and invoice discrepancies.
Process credits, refunds, returns, and RMAs.
Enter required journal entries.
Identify and escalate credit or collection concerns before they become larger issues.

Customer Account Administration

Set up and maintain customer accounts in Epicor.
Run credit reports and maintain approved terms and credit limits.
Maintain customer pricing, jobs, contracts, and tax jurisdictions.
Keep customer records accurate and current.
Identify missing or outdated information and take appropriate action to correct it.

Inside Sales Support

Respond to inbound sales inquiries and prepare quotes.
Proactively follow up on open quotes and anticipated reorders.
Contact existing or inactive customers as directed.
Identify appropriate cross-selling opportunities.

Shipping and Operational Records

Obtain freight quotes and schedule carrier pickups.
Prepare bills of lading and other shipping documents.
Maintain Florida Department of Health standard-tank serial-number logs.
Track ATU serial numbers, certifications, and warranty records.
Schedule resin and empty-container pickups
Maintain vehicle-mileage records.

General Office Support

Answer phones and emails and assist walk-in customers.
Maintain organized electronic and paper records.
Order office supplies and anticipate routine supply needs.
Help maintain a clean and professional front office.
Perform other administrative duties as assigned.

Qualifications

Previous accounts receivable, bookkeeping, order-entry, or customer service experience.
Experience with invoicing, collections, and payment application preferred.
Resourceful problem-solving skills and the ability to find answers independently.
A proactive work style with strong ownership and follow-through.
Strong attention to detail and numerical accuracy.
Professional telephone and email communication skills.
Ability to discuss past-due balances professionally and persistently.
Strong organization and time-management skills.
Proficiency with Microsoft Outlook and Excel.
Epicor Prophet 21 or similar ERP experience preferred.
Manufacturing or distribution experience is helpful.
High school diploma or equivalent required.

Work Environment

This is an on-site, customer-facing office position in a manufacturing and distribution business. The Accounts Receivable Administrator works closely with customers, accounting, sales, production, shipping, and management.
