POSITION SUMMARY
The Project Coordinator is responsible for the end-to-end coordination of the company's traveler workforce program, including mobilization logistics, staffing operations, onboarding activities, and project communications for utility field service projects across multiple states. This role serves as a central point of operational coordination between Project Managers, Supervisors, Recruiting, HR, and field personnel, exercising independent judgment to ensure projects are
properly staffed and employees are effectively mobilized and supported throughout their assignments.
This position requires strong organizational skills, attention to detail, and the ability to independently manage multiple time-sensitive tasks in a fast-paced, project-driven environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Independently assess and prioritize employee mobilizations and project transfers for traveler personnel based on project timelines, workforce availability, and operational needs
- Prepare and distribute mobilization communications and documentation to employees and company leadership
- Track traveler assignments, schedules, project placements, and transitions; proactively identify and resolve scheduling conflicts or gaps
- Maintain accurate records within SharePoint, trackers, and internal systems, including Workday
- Coordinate onboarding activities for new and transferring employees, using judgment to adapt processes to individual assignment needs
- Coordinate with Project Managers and Supervisors regarding current and future staffing needs; independently escalate critical gaps or risks
- Support recruiting and hiring activities, including scheduling interviews, communicating with candidates, and assisting with traveler-specific sourcing efforts
- Serve as primary point of contact for employees' questions related to travel, project reporting, and onboarding; use independent judgment to resolve routine issues and escalate complex matters to appropriate stakeholders
- Maintain organized electronic files and ensure documentation accuracy across all traveler program records
- Support administrative tasks related to traveler operations and project staffing
- Assist with development and ongoing updates of traveler processes, guides, and standard operating procedures
- Communicate professionally with employees, leadership, and internal departments across multiple concurrent projects
- Provide administrative and coordination continuity support when Project Managers or Supervisors are unavailable, including fielding urgent communications and escalating time-sensitive staffing issues to appropriate leadership
REQUIRED QUALIFICATIONS
- 1–3 years of experience in coordination, staffing, dispatching, or administrative support in a project-based or field operations environment
- Strong organizational and multitasking abilities with demonstrated ability to manage competing priorities
- Excellent written and verbal communication skills
- Strong attention to detail and follow-through
- Ability to prioritize and independently manage time-sensitive tasks with minimal supervision
- Proficiency in Microsoft Office, including Outlook, Excel, Teams, and SharePoint
PREFERRED QUALIFICATIONS
- Prior experience working with or supporting a traveling or mobile workforce — including Workampers, linemen, field technicians, or similar niche labor pools — strongly preferred
- Experience supporting field operations, utility services, construction, or project-based work Environments
EDUCATION
- High school diploma or equivalent required
- Associate's degree, bachelor's degree, or related coursework preferred
- An equivalent combination of education and directly relevant experience will be considered in lieu of formal education requirements
POSITION DETAILS
- Work arrangement: Remote with occasional in-office or on-site presence as needed; specific arrangement to be confirmed during offer process
- Schedule: Standard business hours with flexibility required during peak mobilization and project staffing periods; as an exempt salaried position, hours may vary based on operational needs
- Travel: Up to 10% travel may be required for this position
