Sessler Wrecking is looking for an Office Administrator!

This role is ideal for someone who is comfortable managing multiple priorities and has experience with contract administration, project coordination, and accounts payable. Experience handling business or project insurance documentation is strongly preferred.

Sessler Wrecking’s corporate headquarters is in the beautiful Finger Lakes region of Upstate New York.

Job Overview

As the Office Administrator, you will play an important role in keeping contracts, project documentation, vendor information, accounts payable, travel arrangements, and daily office activities organized and moving efficiently. You will work independently while collaborating with project managers, operations, accounting, vendors, clients, and insurance providers.

Responsibilities

Coordinate contract reviews, signatures, executed contract packages, and contract tracking.

Prepare bid, bonding, and project insurance documentation.
Communicate with insurance providers and clients to obtain and distribute certificates of insurance and other required documentation.
Receive, code, and route invoices for approval while obtaining all necessary supporting documentation.
Maintain vendor records, W-9s, insurance information, and other compliance documentation.
Establish new vendors in the financial system and assist with project accounting closeouts.
Coordinate hotels and employee travel arrangements.
Create project folders and assist with project kickoff and closeout documentation.
Distribute shipping manifests and other project-related materials.
Answer and direct telephone calls, greet visitors, and receive deliveries.
Maintain office and kitchen supplies and help keep shared areas organized.
Assist with meetings, events, special projects, and other administrative or accounting responsibilities as needed.

Requirements

Experience with contract administration, project coordination, or a related administrative role.

Experience with accounts payable and invoice processing.
Strong organizational skills and attention to detail.
Ability to manage multiple projects, deadlines, and priorities.
Strong written and verbal communication skills.
Proficiency with Microsoft Office and Adobe.
Ability to learn and navigate accounting and financial software.
Experience with project insurance documentation, certificates of insurance, W-9s, bonding, or vendor compliance is preferred.
Experience with Foundation software is a plus.
Dependable, proactive, and comfortable taking ownership of administrative processes.
Ability to work independently and collaborate effectively in a busy office environment.
