Full Job Description

Overview
Join our dynamic team as a Front Desk Associate, where your energy and organizational skills will set the tone for a welcoming and efficient office environment. In this vital role, you will be the first point of contact for visitors, clients, and team members, ensuring smooth communication and seamless operations. Your proactive attitude and attention to detail will contribute to a positive experience for everyone who walks through our doors. Responsibilities

Greet visitors, clients, and staff warmly, providing exceptional customer service and professional phone etiquette.
Manage multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary.
Handle front desk duties such as scheduling appointments, maintaining calendars, and managing visitor sign-in procedures.
Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records.
Support office management tasks including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
Assist with administrative support tasks such as calendar management, appointment scheduling, and personal assistant duties as needed.
Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations.

Requirements

Proven experience in office management or clerical roles with strong organizational skills.
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools.
Prior experience in customer service or reception roles, preferably in medical or dental settings.
Bilingual abilities are highly valued to serve diverse populations effectively.
Strong phone etiquette skills with experience managing multi-line phone systems.
Ability to handle data entry accurately with good typing speed and attention to detail.
Knowledge of office procedures such as filing, proofreading, and calendar management.
