Office Manager

Smart Marketing Advertising Agency
Anderson, South Carolina

Position Overview

Smart Marketing Advertising Agency is looking for an organized, dependable, and proactive Office Manager to support the administrative and operational needs of our corporate office in Anderson, SC.

This position will play an important role in keeping our agency organized and our team on track. The Office Manager will assist with the administrative side of sales, new client onboarding, project organization, vendor coordination, purchasing, basic accounting tasks, and general office operations.

The ideal candidate is a strong communicator who pays close attention to details, follows through on tasks, and is comfortable managing multiple priorities in a fast-paced, creative environment.

Key Responsibilities Include:

Sales & Client Intake

Serve as an administrative point of contact for incoming leads and inquiries.
Document and route new leads to the appropriate team member for same-day follow-up when possible.
Maintain accurate lead and sales information in ClickUp.
Assist with preparing and sending contracts, proposals, and other client documentation.
Track outstanding contracts and follow up on necessary next steps.
Help maintain an organized intake process from initial inquiry through client onboarding.

New Client Onboarding

Coordinate the administrative side of onboarding new clients.
Manage and maintain new client onboarding checklists.
Gather and organize client contacts, services, account information, important dates, and other necessary details.
Enter and maintain new client information in ClickUp and other internal systems.
Organize client files and ensure the appropriate team members have the information needed to begin work.
Track onboarding tasks and follow up on missing information or outstanding items.
Help ensure a smooth transition from the sales process to the client's ongoing account management.

ClickUp & Project Organization

Maintain and update projects, tasks, deadlines, and client information in ClickUp.
Assist with organizing schedules, content dates, recurring projects, and other important deadlines.
Help ensure tasks are assigned to the appropriate team members.
Monitor upcoming deadlines and follow up internally when action is needed.
Keep client and project documentation organized and up to date.
Help identify missing information or administrative needs that could delay projects.

Accounting & QuickBooks Support

Assist with basic day-to-day accounting and bookkeeping responsibilities.
Maintain and organize invoices, purchase orders, receipts, and other financial documentation.
Match vendor invoices with corresponding purchase orders and verify information for accuracy.
Assist with entering and maintaining financial information in QuickBooks.
Help track client and vendor billing documentation.
Maintain organized records for expenses and purchases.
Assist with basic account reconciliation and reporting as needed.
Work with leadership and outside accounting professionals to ensure financial records and documentation are accurate and organized.

Basic knowledge of accounting principles and previous experience with QuickBooks is preferred.

Vendors, Purchasing & Promotional Items

Request and compare quotes from printers, promotional companies, sign vendors, and other agency partners.
Order promotional products, printed materials, signage, and other client or agency items.
Prepare and maintain purchase orders.
Track orders, proofs, production timelines, and delivery dates.
Communicate with vendors regarding pricing, order details, changes, and deadlines.
Maintain organized records of quotes, purchase orders, invoices, and vendor information.

General Office Administration

Field and organize emails, documents, forms, and correspondence.
Maintain organized digital and physical filing systems.
Assist with scheduling meetings, appointments, and internal deadlines.
Serve as an intake point for administrative requests and direct them to the appropriate team member.
Keep internal records and documentation accurate and up to date.
Assist with general office organization, supplies, and day-to-day operational needs.
Provide administrative support to agency leadership and team members as needed.

Qualifications

Previous experience in office administration, office management, bookkeeping, project coordination, sales support, or a related role preferred.
Basic knowledge of accounting and bookkeeping principles.
Working knowledge of QuickBooks preferred.
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Strong written and verbal communication skills.
Ability to manage multiple tasks, deadlines, and priorities simultaneously.
Comfortable communicating professionally with clients, vendors, and team members.
Proficiency with email, spreadsheets, shared drives, and standard office software.
Experience with ClickUp or similar project management software is a plus.
Experience with invoices, purchase orders, vendor quotes, and purchasing is preferred.
Experience in a marketing agency, advertising agency, professional services firm, or other fast-paced office environment is a plus.
