Full Job Description

Job Summary

We are seeking an energetic and highly organized Front Desk Coordinator to be the welcoming face of our office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your proactive approach and excellent communication skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Answer multi-line phone systems promptly and direct calls efficiently using proper phone etiquette
Manage appointment scheduling and calendar coordination for staff and executives using productivity software and calendar management tools
Maintain organized filing systems, both physical and digital, including document proofreading and record keeping
Support office management by overseeing supplies inventory, filing documents, and assisting with clerical tasks such as word processing and document preparation
Provide customer support by addressing inquiries via phone or email, ensuring clear communication and excellent service delivery

Experience

Proven office experience with strong clerical skills in a fast-paced environment
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with data entry, spreadsheets, and productivity software to enhance organizational efficiency
Experience managing multi-line phone systems and practicing professional phone etiquette
Bilingual abilities are highly valued to assist diverse client needs effectively
Prior experience in front desk or administrative roles that involved client communication and office management responsibilities
Strong organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail
