Project Coordinator will be responsible for collection management and planning for the preparation of collections affected by the Fire Suppression System construction and Libraries’ collections move by rehousing material for preservation and storage enhancement; oversee the move of collections from the Andersen Mezzanine and High bay areas, and off-site storage to Andersen; addressing significant oversize collections impacted by the move; conducting shelf reads to ensure adequate location control before the move and confirm all archival material is updated in the CMS for better management control. The Project Coordinator will supervise student positions related to the collection move. The Project Coordinator will report to the Head of Archival Processing and work cooperatively with Libraries and Archives staff involved in coordinating the collections moves.
The Project Coordinator position is a 1 year, full-time, position for the University of Minnesota Archives and Special Collections, a Department of the University of Minnesota Libraries. Depending on available funding there is the possibility of an additional year.
Work schedule is full-time, Monday-Friday during open hours of Andersen Library. Most work must be completed on-site, but there is flexibility for some hybrid work when necessary; subject to University approval and management discretion.

Archival Collection Management (70%)

Survey collections in preparation for moves
-
Update collection guides with location metadata using ArchivesSpace

Create new location data for import into ArchivesSpace
-
Label new and existing shelves with location data in preparation for collection moves
-
Serve as the on-site point of contact for movers during duration of moves
-
The coordinator will map collections to be moved, identify permanent storage locations for oversize and flat material
-
Coordinate moves of collection material to/from the identified space and process and/or rehouse archival material affected by the move.

Responsible for ensuring moved material is identified and stored in correct new locations, overseeing temporary staff to put collection material on shelves
-
Support ASC central staff during the planning for and during the fire suppression system installation.

Coordinate archival projects with Temp/Cas employees hired to move collection material at Andersen Library.
Project Administration (30%)

Manage project documentation and relevant statistics

Develop and implement work plans and manage milestones for project completion

Contribute to Department committees or working groups related to archival description and preservation

Work collaboratively to create work procedures and improve workflows

Make recommendations regarding collection preservation, metadata, and workflows related to the project

Participate in relevant internal training opportunities
The University of Minnesota Libraries Department of Archives and Special Collections (ASC) is one of the largest archival holdings in the country. The Department comprises 14 distinct collecting units, most of which include archival materials, and has relationships with other special collections units in the Libraries, including the Wangensteen Historical Library of Biology and Medicine and the Andersen Horticultural Library. ASC has close working relationships with the Libraries IT service areas, as well as Collection Management and Preservation.
