The Senior Commercial Loan Documentation Specialist is responsible for overseeing the preparation, coordination, and accuracy of documentation required to close and service commercial loans, including complex commercial real estate transactions and government-guaranteed loans. This role requires a seasoned commercial lending professional with several years of experience preparing, closing, and booking commercial loan transactions. The position supports the full commercial loan lifecycle by ensuring timely booking, servicing, imaging, collateral perfection, and file maintenance, while serving as a key resource for lenders and other loan operations staff. The Specialist is expected to proactively identify and resolve documentation, collateral, and compliance issues, maintain strong knowledge of lending regulations and Bank policy, and help ensure sound, efficient, and accurate loan closings and servicing activities. In addition to daily processing responsibilities, the Senior Commercial Loan Documentation Specialist provides guidance, training, workflow oversight, and day-to-day supervisory support to commercial loan support staff, helping maintain accountability, consistency, and operational excellence across the commercial lending function.
Key Responsibilities:
· Oversee and prepare documentation needed to close commercial loans and perfect the Bank’s security interests, including complex loan structures, commercial real estate transactions, renewals, modifications, and government guaranteed loans.
· Review loan documentation for completeness, accuracy, and compliance with legal requirements, regulatory guidance, and Bank policy; identify and resolve collateral, documentation, or technical deficiencies prior to closing.
· Coordinate loan closings with lenders, attorneys, title companies, and clients to ensure documents are delivered accurately and within required timeframes.
· Perform accurate and timely booking, renewal, maintenance, and servicing of commercial loans within the Bank’s core and document systems.
· Serve as a resource to lenders and loan operations staff regarding documentation requirements, collateral perfection, loan servicing questions, and system-related issues.
· Assist with and support the origination, servicing, and post-closing administration of government guaranteed loans, including SBA and FSA transactions.
· Process paid loans, releases, lien satisfactions, and UCC continuations accurately and timely, ensuring proper filing, recording, and internal tracking.
· Maintain and monitor loan file documentation, imaging, and tickler systems to support audit readiness, collateral tracking, and regulatory compliance.
· Prepare and process loan department entries, general ledger transactions, participation payments, and related accounting items associated with commercial loan activity.
· Provide training, guidance, and backup support for other loan support personnel, helping maintain workflow continuity, quality control, and procedural consistency within the department.
· Assist with supervising the daily activities of commercial loan support staff by helping assign work, monitor workflow, answer questions, and ensure deadlines and service standards are met.
· Support onboarding and training of new commercial loan assistants and provide ongoing coaching to strengthen technical knowledge, documentation accuracy, and procedural consistency.
· Review work completed by commercial loan assistants for quality, completeness, and adherence to Bank procedures, and escalate issues or trends to management as appropriate.
· Support ongoing process improvement efforts by identifying operational inefficiencies, recommending solutions, and helping implement best practices across commercial loan administration.
Minimum Qualifications:
· High school diploma or equivalent education/experience required; associate degree or additional banking coursework preferred.
· Minimum of five to seven years of commercial loan documentation, servicing, or loan operations experience, with demonstrated knowledge of commercial lending practices and documentation requirements.
· Thorough understanding of Bank policy, lending procedures, collateral perfection, loan documentation, and applicable laws and regulations relevant to commercial lending.
· Strong verbal and written communication skills, with the ability to work effectively with lenders, clients, attorneys, title companies, and internal staff.
· Demonstrated ability to analyze issues, prioritize workflow, exercise sound judgment, and manage multiple deadlines in a detailed, fast-paced environment.

Pay: $68,000.00 - $85,000.00 per year
