General Summary:

The HIT Assistant supports the day-to-day information technology and health information systems operations of the Health Center of Southeast Texas, a Federally Qualified Health Center (FQHC). This position provides frontline technical support for staff across all HCSET locations, including troubleshooting of hardware, software, network, and Electronic Health Record (EHR/EMR) issues.

Essential Job Functions:

IT & Technical Support

Serve as first point of contact for staff technology issues; review, work, and close IT help desk tickets, escalating to the IT Director/Manager as needed.
Troubleshoot hardware, software, network connectivity, printer/peripheral, telephony, and EHR/EMR-related issues for staff at all HCSET locations.
Assist with employee onboarding and offboarding by creating, modifying, and deactivating user accounts; issuing equipment; and monitoring system access and passwords in accordance with security policies.
Support HIPAA Security Rule compliance, including access controls, workstation security, and timely reporting of potential privacy or security incidents.
Coordinate IT-related vendor support, service calls, and maintenance schedules; track vendor tickets through resolution.
Maintain accurate inventory of IT equipment (computers, tablets, printers, peripherals, network devices) and track deployment, transfers, and disposal.
Image, configure, and deploy workstations and devices for new hires, replacements, and clinic expansion.
Support telehealth platforms, patient portal, and other patient-facing technologies.

EHR / Health Information Systems Support

Support EHR/EMR and other company information systems workflows and provide user guidance, tip sheets, and one-on-one assistance on system functionality for clinical and administrative staff.
Assist with EHR template updates, user setup, role/permission assignments, and routine system maintenance tasks as directed.
Assist with testing of system upgrades, patches, and new modules prior to go-live, and document results.
Support interfaces and integrations between the EHR and other systems (e.g., labs, e-prescribing, HIE, population health, and reporting tools).
Assist with data quality checks and report generation to support UDS reporting, quality measures, and other FQHC/HRSA reporting requirements.

HIT Project Facilitation & Coordination

The HIT Assistant serves as the central point of coordination for all health information system projects at HCSET. In this capacity, the role consists of the following:

Facilitate and coordinate all health information system projects, including EHR upgrades and module rollouts, new software implementations, hardware refreshes, clinic technology build-outs, telehealth expansion, and interface/integration projects.
Assist the Director of Health Information Technology in developing project plans, timelines, task lists, and milestones for each initiative.
Schedule and facilitate project meetings, including preparing agendas, documenting minutes and action items, and following up with responsible parties to keep tasks on track.
Serve as the liaison between internal departments (clinical, front office, billing, administration) and third-party vendors to ensure clear communication, timely deliverables, and coordinated go-live activities.
Track project status, deadlines, risks, and issues; maintain project documentation; and provide regular written and verbal progress updates to management.
Coordinate end-user training, testing, and go-live support activities associated with system implementations and upgrades.
Document workflows, processes, and technical configurations before and after project implementation to support training, compliance, and continuity of operations.

Assist in evaluating project outcomes, gathering staff feedback, and recommending process improvements following implementation
