Full Job Description

Overview

We are seeking a dynamic and detail-oriented Branch Operations Assistant to join our team.

This role is vital supporting daily office operations, field crews, and customer communications. This position works closely with the Territory Manager to ensure smooth administrative processes, efficient scheduling, accurate project documentation, and effective coordination between office staff, customers, vendors, and field personnel.

The idea candidate is organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment. Prior experience in office administration, operations coordination, or project support is preferred; however, candidates with a strong willingness to learn are encouraged to apply

Key Responsibilities

Monitor shop operations and assist in ensuring work is being completed efficiently when crews are not deployed to project sites.
Manage daily scheduling activities and coordinate project logistics with Crew Leaders.
Support the Territory Manager with customer communications regarding ongoing and upcoming projects.
Serve as a resource for field personnel by assisting with day-to-day operational needs and administrative requests.
Act as a primary point of contact for crew members regarding routine daily tasks as delegated by the Territory Manager.
Prepare, review, and finalize work orders, invoices, and estimates as needed.
Maintain accurate project records and documentation.
Ensure timely processing and organization of operational paperwork.
Coordinate communication between field crews and management to maintain operational efficiency.
Assist in scheduling and coordination equipment repairs and service work with external vendors.
Track and maintain records related to Employee and Equipment Certifications, Inspections, and Compliance.
Help ensure organizational compliance with company and industry standards.
Additional duties as required.

Qualifications

Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
High attention to detail and accuracy.
Ability to work independently and collaboratively within a team environment.
Experience in a support or supervisory role in the construction, manufacturing, or service industry preferred.
Experience with Microsoft products (Excel, Word, Outlook) required.
Ability to learn and operate multiple platforms simultaneously. Prior use of Jobber, Method, Samsara, and/or Paylocity is a plus.

Physical Requirements

This position is primarily performed in an office environment and requires regular use of a computer, phone, and other office equipment. The employee must be able to communicate effectively with customers, vendors, field personnel, and management in person, by phone, and by email. Duties require sitting for extended periods, as well as standing, walking, bending, reaching, and lifting or carrying items up to 25 pounds. This role will require occasional visits to shop or project-site locations. The employee must be able to perform the essential functions of the position with or without reasonable accommodation.

Pay: $23.00 - $25.00 per hour
