Essential Duties:

Answer and direct incoming calls.
Organize and maintain both electronic and physical files to ensure easy access and secure storage.
Track and renew certifications for field staff to ensure compliance with industry standards.
Prepare project closeout documentation to facilitate smooth project completion and handover.
Develop and maintain job-specific packets to provide essential information and resources for each project.
Compile and distribute reporting documents to division personnel, ensuring up-to-date information across teams.
Perform general office tasks such as data entry, filing, and office organization.
Maintain consistent and clear communication with all division personnel to support team alignment and project progress.
Assist managers with additional tasks and projects as assigned, contributing to the overall efficiency of the division.

Requirements:

2+ years of progressive administrative experience.
Ability to prioritize tasks and manage time effectively while communicating clearly at all organizational levels.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Strong focus on accuracy and thoroughness in all tasks.
Demonstrates a collaborative and proactive approach to work.
Basic Proficiency in English required. Candidates must have a basic understanding of English for safety purposes and to communicate with colleagues, vendors, and contractors on-site effectively. The ability to follow instructions and engage with the team is essential for success in this role.
