Full Job Description

SUMMARY: The Maintenance Coordinator serves as the central operational hub for the maintenance department within our winery and food manufacturing facility. This role is responsible for the planning, scheduling, and administrative coordination of all facility maintenance activities. The primary objective is to maximize equipment reliability and plant uptime across crush, fermentation, bottling, and packaging lines while ensuring absolute compliance with food safety, sanitation, and BRC global standard regulations. A core expectation of this role is championing continuous improvement in all aspects of our work, driving advancements in maintenance efficiency, workflow optimization, and staff capability.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Planning and Scheduling: Coordinates and schedules all preventative, predictive, and corrective maintenance work around production timetables and seasonal crush schedules to minimize operational downtime.

Work Order Management: Administers the facility Asset Essentials CMMS platform. They log, prioritize, track and close out daily maintenance tickets, ensuring accurate data entry and asset history tracking.

Continuous Improvement: Routinely reviews processes to optimize maintenance efficiency and refine data integrity within the Asset Essentials system. Actively trains and mentors maintenance personnel on proper CMMS workflow, data capture, and standardized procedures.

Food and Beverage Compliance: Ensures all maintenance activities strictly adhere to GMPs (Good Manufacturing Practices), HACCP, TTB, and BRC global standards to prevent any product contamination risk.

MRO Inventory Control: Manages the Maintenance, Repair, and Operations storeroom. They track parts usage, execute cycle counts, and order critical spares for specialized winery and processing machinery.

Vendor, Contractor, & Procurement Oversight: Serves as the primary point of contact for external service providers, ensuring they follow plant safety and hygiene protocols. Manages the end-to-end procurement of specialty parts, negotiates supplier pricing, and tracks vendor delivery lead times to prevent maintenance delays.

Audit Readiness: Maintains meticulous documentation of equipment calibrations, service logs, and technician training to ensure the department is always fully prepared for BRC compliance audits and regulatory inspections.

Seasonal Peak Management: Leads maintenance preparation efforts ahead of the harvest and crush season. Actively manages accelerated scheduling demands, emergency parts expediting, and coordinates shift coverage during high-volume production periods.

General Adaptability: Performs other duties, projects, or tasks as assigned by the Maintenance Manager to support changing operational needs.

POSITION REQUIREMENTS

Minimum of 5-7 years of maintenance scheduling, purchasing, or administrative experience, strictly within a winery, beverage production, or food manufacturing environment.

Technical Skills: Demonstrated proficiency and hands-on experience using Asset Essentials (or equivalent enterprise CMMS) and Microsoft Office Suite.

Availability: Ability to work extended hours and overtime as required, particularly during peak harvest and crush seasons to support 24/7 production needs.

Industry Knowledge: Strong working knowledge of FDA/TTB regulations and BRC food safety standards, with a deep understanding of hygienic equipment design specific to liquid processing and bottling.

Core Competency: Proven ability to identify bottlenecks, streamline workflows, and champion a culture of process improvement and technical training within a team.

Education: High school diploma or equivalent required; and an Associate degree or technical certification in a related field are highly preferred.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to talk or listen. Frequently required to stand, walk, use hands and fingers to handle or feel objects and/or keyboard. Required to reach with hands and arms; climb or balance; stoop, kneel, or crouch. Must be able to frequently lift and/or move up to 50 lbs. Specific vision abilities include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

WORK ENVIRONMENT

This position works in both an office and industrial environment. Exposure to noise, dust, machinery, varying temperatures, and outdoor weather conditions may occur. Appropriate personal protective equipment (PPE) must be worn when entering operational areas.
