Full Job Description

Overview
We are seeking a detail-oriented and proactive Administrative Specialist to join our team. This role is essential in ensuring the smooth operation of our office environment and providing exceptional support to both staff and clients. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to delivering high-quality administrative services.

Duties

Manage front desk operations, including greeting visitors and handling inquiries with professionalism.
Operate multi-line phone systems to efficiently manage incoming calls and provide customer support.
Maintain office organization through effective filing systems and data entry practices.
Utilize QuickBooks for bookkeeping tasks and financial record management.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Provide administrative support, including typing documents, proofreading materials, and preparing reports.
Leverage Microsoft Office and Google Workspace for various office tasks, ensuring accuracy and efficiency.
Handle clerical duties such as mail distribution, supply ordering, and maintaining office equipment.
Support customer service initiatives by addressing client needs promptly and effectively.
Demonstrate strong time management skills to prioritize tasks in a fast-paced environment.

Experience

Proven experience in an administrative role or similar position is preferred.
Familiarity with front desk operations and multi-line phone systems is highly desirable.
Bilingual candidates are encouraged to apply as communication with diverse clientele is beneficial.
Strong computer skills are essential; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is required.
Previous experience as a dental receptionist or medical receptionist is a plus but not mandatory.
Excellent organizational skills with attention to detail are crucial for success in this role.
A background in customer service or support will enhance your candidacy for this position.

7:00AM to 4:30PM
