Clinic Assistant - Part-Time

Peak Performance Care | Sonora, CA

Peak Performance Care is looking for a friendly, organized, and dependable Part-Time Clinic Assistant to help keep our clinic running smoothly and create an exceptional experience for our clients.

We are a busy healthcare practice focused on helping active adults stay healthy, strong, and doing the things they love. This role is a combination of front desk administration, client hospitality, client communication and clinic support. We are looking for someone who notices what needs to be done and takes initiative, whether that means helping a client schedule their next appointment, answering the phone, discussing a recommended plan of care, preparing a treatment area, tidying the kitchen, taking out the trash and folding laundry.

Afternoon availability into the early evening is required for this position.

What You'll Do

Front Desk & Client Experience

Greet clients and create a warm, professional, and welcoming environment.
Answer incoming phone calls, texts, and emails using professional and confident phone etiquette.
Schedule, confirm, and manage appointments.
Help clients understand scheduling, payment, and administrative details related to their care.
Build strong relationships with our clients and help them feel known, supported, and comfortable in our clinic.
Collect payments and assist with basic billing and account-related tasks.
Prepare superbills and other client documents as needed for Insurance.

Plan of Care & Client Communication

Confidently communicate with clients about the plan of care recommended by their provider.
Help clients understand scheduling frequency, treatment packages, pricing, and payment options.
Answer non-clinical questions and help clients take the next step in getting their recommended care scheduled.
Be comfortable with the sales and customer-service side of healthcare, while always keeping the client's needs and provider's recommendations at the center of the conversation.

Clinic & Provider Support

Help providers stay organized and keep the clinic schedule running smoothly.
Communicate important client information between the administrative and clinical teams.
Assist with setting clients up for certain regenerative therapies, such as shockwave therapy, or radiofrequency treatments, after appropriate training.
Help prepare and reset treatment spaces between clients.
Manage incoming mail, faxes, documents, and other day-to-day administrative tasks.

Hospitality & Clinic Upkeep

Help maintain a clean, organized, and welcoming clinic throughout the day.
Keep client and staff kitchen areas tidy and stocked.
Empty trash and handle other routine light housekeeping duties.
Manage clinic laundry and ensure all clinical spaces are appropriately stocked
Restock supplies and make sure treatment and common areas are ready for clients.
Weekly inventory check of retail and supply items
Notice when something needs attention and take care of it without always needing to be asked.

This position is a great fit for someone who genuinely enjoys taking care of people and taking care of a space. You don't need to come from a medical office, but you do need to be comfortable communicating with people, learning new systems, staying organized, and switching between different responsibilities throughout the day.

Schedule & Physical Requirements

Afternoon availability is required.
Ability to lift and carry up to 50 pounds.
Ability to regularly stand, walk, bend, stoop, reach, and lift throughout the workday.
Ability to reach and lift items overhead.
Comfortable performing light housekeeping and other physical tasks associated with maintaining the clinic.

Experience

1+ year of customer service, hospitality, administrative, front desk, sales, or similar experience preferred.
Medical office experience is helpful but not required.
Strong customer service, communication, and phone skills are important.
Experience discussing services, pricing, memberships, packages, or other customer purchases is a plus.
Basic computer skills and the ability to learn new software are required.
