Senior Executive Assistant

Compensation: $55,000–$85,000, commensurate with experience and demonstrated capability
This is not a traditional administrative role. This position exists to take pressure off the executive team by owning execution, anticipating needs, and serving as a true right-hand support across shifting priorities.
DFS Medical is a fast-growing, high-achieving medical organization led by a small, highly engaged executive team.
We are looking for a senior-level Executive Assistant who thrives in a dynamic environment, enjoys being at the center of the action, and takes pride in making leaders and organizations operate better, faster, and with less friction.
This role supports three owners and the practice manager directly. It is designed for someone who is exceptionally organized, proactive, calm under pressure, and capable of handling both complex responsibilities and practical, day-to-day tasks without ego.
For the right person, this role has a clear growth path. We are intentionally looking to invest in someone who can grow into expanded responsibility over time, including higher-level operational support, while continuing to function as a trusted extension of leadership.
What you’ll do
- Act as a right-hand support to the executive team and practice manager, managing tasks and projects that free leadership to focus on higher-level priorities
- Own execution of projects from start to finish (e.g., coordinating vendors, organizing locations, tracking timelines, following through until completion)
- Anticipate needs, spot gaps, and proactively surface issues before they become problems
- Track details others may miss and ensure nothing falls through the cracks
- Coordinate calendars, scheduling, travel, and logistics across multiple leaders
- Communicate professionally and confidently with vendors, landlords, partners, and other external contacts as needed
- Create, manage, and refine spreadsheets, documents, and systems that support decision-making
- Use technology and AI tools to work efficiently and continuously improve how work gets done
- Adapt quickly to shifting priorities and multiple leadership styles while staying aligned with overall direction
What we’re looking for
- 5+ years of experience supporting senior leaders or executives in a fast-paced environment
- Proven ability to manage competing priorities with a high level of accountability
- Strong judgment, discretion, and emotional regulation under pressure
- Highly detail-oriented while remaining flexible and calm
- Tech-savvy, including strong proficiency with Mac computers, Google Workspace and spreadsheets; comfortable using AI tools to optimize work
- Fast, accurate communicator (strong written skills; typing speed of ~80 wpm preferred)
- Comfortable traveling locally between clinic locations (Orem and Salt Lake City)
- Willingness to do whatever needs to be done — from high-trust projects to very practical tasks — with the same level of professionalism
