Position Summary
Nurture Haven Nannies is seeking a dependable, organized, and energetic Event Lead to help plan, coordinate, and execute childcare events. This person will serve as the primary on-site leader, working closely with clients, caregivers, vendors, and the Nurture Haven Nannies team to ensure every event runs safely, smoothly, and professionally.
The ideal candidate is proactive, calm under pressure, skilled at leading a team, and passionate about creating excellent experiences for children, families, and clients.
Key ResponsibilitiesEvent Planning and Preparation
- Review event details, client expectations, schedules, venue requirements, and the number and ages of children attending.
- Assist with developing event-care plans, timelines, activity schedules, staffing needs, supply lists, and room layouts.
- Coordinate with clients and internal team members before each event to confirm logistics and special requests.
- Identify age-appropriate activities, games, crafts, and entertainment.
- Help prepare and organize event supplies, equipment, registration materials, and emergency information.
- Confirm that allergy, medical, accessibility, and other important care information has been properly documented and communicated.
On-Site Event Leadership
- Arrive early to supervise setup and ensure the childcare space is welcoming, organized, and safe.
- Conduct caregiver check-in, assign roles and stations, and provide a pre-event team briefing.
- Serve as the main point of contact for the client, venue staff, caregivers, and families during the event.
- Oversee child check-in and check-out procedures, including authorized pickup requirements.
- Monitor caregiver-to-child ratios, attendance, transitions, activities, meals, breaks, and overall event flow.
- Support caregivers as needed and make timely adjustments when circumstances change.
- Address questions, concerns, behavioral situations, injuries, or emergencies calmly and according to company procedures.
- Ensure caregivers maintain Nurture Haven Nannies’ standards for safety, professionalism, engagement, and service.
- Lead cleanup, confirm that all children have been safely released, and return the event space to the required condition.
Post-Event Responsibilities
- Complete attendance records, incident reports, supply notes, and other required documentation.
- Debrief with the Nurture Haven Nannies team and share client or caregiver feedback.
- Identify opportunities to improve future event planning and execution.
- Report supply needs, staffing concerns, damages, or unresolved issues promptly.
Qualifications
- At least two years of experience in childcare, events, hospitality, education, recreation, team leadership, or a related field.
- Experience supervising caregivers, event staff, volunteers, or other teams strongly preferred.
- Excellent organization, communication, leadership, and problem-solving skills.
- Ability to manage multiple priorities and remain composed in a fast-paced environment.
- Strong attention to detail and commitment to child safety.
- Professional, dependable, punctual, and approachable.
- Comfortable communicating with clients, parents, venue representatives, and team members.
- Ability to work a flexible schedule, including evenings and weekends.
- Reliable transportation and the ability to travel within the company’s service area.
- Current CPR and First Aid certification, or willingness to obtain it before leading an event.
- Ability to pass required background and reference checks.
Physical Requirements
- Ability to stand and move throughout an event for extended periods.
- Ability to bend, kneel, sit on the floor, and actively engage with children.
- Ability to lift and carry event supplies weighing up to [insert weight] pounds.
- Ability to assist with event setup and cleanup.

Compensation
$28-$35per hour or a flat rate based on the event’s size, duration, travel, and responsibilities.
