In this vital role, you will be the heartbeat of our daily office functions, ensuring smooth operations and exceptional support for staff and visitors alike. Your proactive approach and organizational prowess will help create a welcoming, efficient environment where everyone can thrive. This paid position offers a fantastic opportunity to develop versatile office management skills while contributing to a vibrant workplace culture.

Responsibilities

Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and warmth.
Making calls to Dr. offices and handling incoming calls with excellent phone etiquette, directing inquiries accurately and efficiently.
Maintain organized filing systems, manage data entry tasks, and ensure all documents are proofread for accuracy.
Support calendar management and scheduling for meetings, appointments, using Google Workspace or Microsoft Office tools.
Provide customer service support by responding promptly to inquiries, supporting patient needs, and maintaining positive relationships.
Perform clerical duties such as photocopying, faxing, mailing.

Requirements

Proven office management or administrative experience with strong organizational skills.
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), and data entry skills.
Experience with multi-line phone systems and excellent phone etiquette is essential.
Experience in clerical or medical/dental receptionist roles is a plus.
Strong typing skills along with attention to detail for proofreading documents.
Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment.
Experience in DME and insurance billing is a plus!

8 hour shift
Monday to Friday
