Our agency is looking to fill a full-time, permanent Office Assistant (OA3) vacancy within the Community Corrections Division. This position works for the Spokane Interstate Unit located at 12406 E Desmet Ave, Spokane Valley, WA 99216.

Under general supervision from the Administrative Assistant 4 (AA4), this position performs file management and routine, advanced clerical support tasks for the unit. Working independently, you will perform a variety of complex clerical projects and assignment and perform duties involved with working at the reception desk. Work hours: Monday-Friday, 8:00 am to 5:00 pm.

Duties

Manage and maintain electronic and physical files.

Database entry and retrieval from various systems, such as OMNI (Offender Management Network Information) and OnBase.
Create, manage, and archive DOC field files.

Provide front desk reception on a rotational basis.

Ensure the public office doors are opened at 8:00 am and closed at 5:00 pm.
Greet and direct clients, general public, and/or stakeholders to the appropriate staff.
Manage a multi-line phone system.

Other duties as assigned.

Deliver mail to the Broadway Administration building.
Receive and distribute reports.
Order office supplies.

Qualifications

Required Qualifications

High school diploma or GED equivalent.
Six months of clerical experience with a basic knowledge of Microsoft Programs to include Word, Outlook, and Excel.
And must possess and maintain an unrestricted vehicle operator's license valid in the state of Washington.

Maintain regular and reliable attendance.
Must respect and maintain confidentiality.
Ability to assist individuals with various criminal backgrounds.
Ability to navigate internal databases and a variety of computer platforms/applications.
Ability to proofread written material, identify and correct errors, grammar, and punctuation.
Ability to communicate effectively and clearly to staff, supervised individuals, stakeholders, and public.

Desirable Qualifications

Customer service or front counter/reception experience.
Experience operating a multi-line phone system.

Salary is based on skills and abilities that apply to the primary functions of the role and/or years of experience and is decided at the time a final offer of employment is made. The salary range listed in the job posting includes steps A-M. Within a permanent salary range, step M is a longevity step, it is typically gained six years after being assigned to step L.
