About the Role
We are looking for an experienced Personal/Executive Assistant to support the CEO of CTM Unlimited in a fast-paced, high-responsibility environment.
This is more than a traditional PA or administrative role.
The right person will be someone the CEO can trust to take ownership, use good judgement, and get things done without needing constant direction.
You will act as a trusted partner to the CEO, taking ownership of requests from start to finish, coordinating with senior executives, clients, vendors and external partners, and ensuring that nothing falls through the cracks.
The CEO often works at pace and may provide a task with limited instruction. We need someone who can understand the context, work out what needs to happen, act and follow through without needing to be chased.
What You'll Do
Executive & Business Support
- Manage the CEO's calendar, meetings and appointments.
- Coordinate meetings with clients, partners, vendors and senior executives.
- Communicate professionally with external stakeholders and their executive assistants.
- Manage follow-ups and ensure outstanding actions are completed.
- Prepare meeting agendas, briefing materials, notes and action items.
- Coordinate domestic and international travel and itineraries.
- Draft and manage professional correspondence on behalf of the CEO.
- Handle confidential business and executive information with discretion.
- Support special projects and business initiatives.
Personal Support
- Assist the CEO with personal appointments, scheduling and organisation.
- Coordinate personal commitments alongside professional responsibilities.
- Coordinate domestic and international family travel and itineraries.
- Manage tasks and arrangements that support the CEO's day-to-day needs.
- Maintain discretion and confidentiality across both personal and professional matters.
Events & Speaking Engagements
- Coordinate speaking engagements, conferences, panels and other events.
- Liaise with event organisers and external partners.
- Manage event logistics, schedules and preparation requirements.
- Ensure the CEO has the information and materials needed to attend engagements fully prepared.
- Support event-related follow-up and outstanding actions.
What We're Looking For
Required
- 4+ years of experience in an Executive Assistant, Personal Assistant or similar senior support role.
- Experience supporting a CEO, founder, senior executive or high-level leader.
- Strong experience managing complex calendars, competing priorities and multiple deadlines.
- Excellent written and verbal communication skills.
- Confidence communicating with senior executives, clients and external partners.
- Exceptional organisation, attention to detail and follow-through.
- A proactive, self-directed approach to work.
- Ability to handle confidential and sensitive information with discretion.
- Ability to work independently and make sensible decisions without constant supervision.
- Strong proficiency with Microsoft Office, particularly Outlook, Word, PowerPoint and Excel.
- Experience with Microsoft Teams and task/project management tools.
- High comfort with technology and the ability to quickly learn and adapt to new tools and platforms. CTM Unlimited operates with AI-powered tools across its workflows, and the CEO is highly tech-forward, so a strong interest in and willingness to embrace new technology is essential.
Preferred
- Experience supporting a highly visible CEO, founder, entrepreneur or thought leader.
- Experience coordinating executive travel, events or speaking engagements.
- Experience working directly with clients, vendors or strategic partners.
- Bachelor's degree in business administration, Communications or a related field.
