Job Summary

We are seeking a dynamic and highly organized Construction Office Administrator to join our team! This vital role combines administrative excellence with construction project support, ensuring smooth daily operations and effective communication across all levels of the organization. The ideal candidate should have construction industry experience (pay based on experience), thrive in a fast-paced environment, demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude. This position offers an exciting opportunity to contribute to impactful construction projects while developing your career in office management and administration within the construction industry.

Duties

Manage daily office operations, including filing, data entry, mail, and maintaining confidential information with discretion and professionalism
Support construction projects through qualification applications, contracts, pay apps, certified payroll, and notary services
Coordinate project schedules, meetings, and appointments using calendar management tools to ensure timely execution of tasks
Oversee vendor relationships by managing processes and ensuring timely payments through QuickBooks accounting software
Support human resources functions including onboarding new team members, maintaining employee records, and assisting with payroll processing
Handle client communication by responding promptly to inquiries and providing excellent customer service
Maintain accurate records through bookkeeping, project documentation, invoices, budgets, reports, and financial transactions
Support owner's additional small businesses including trucking, ranching, hunting, rental properties, and personal matters

Skills

Proven experience in office administration within a construction environment
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheet management for budgeting and reporting purposes
Experience with QuickBooks accounting software
Familiarity with construction programs like Procore and others
Excellent communication skills, both verbal and written, with the ability to handle employees and customers with professionalism
Strong organizational skills to prioritize multiple tasks efficiently
Knowledge of construction, invoicing and vendor management processes, project scheduling, and event planning techniques
Ability to handle confidential information responsibly while maintaining high standards of accuracy in bookkeeping and recordkeeping
Technical proficiency in office management tools combined with a proactive approach to problem-solving and process improvement
