Position Overview

The Accounts Receivable Specialist is responsible for managing the full cycle of Marolf Environmental's billing and collections process, from initial invoice generation through final payment receipt and lien release. This role serves as the financial backbone of project closeout, ensuring that every completed scope of work is accurately billed, diligently followed up on, and properly documented.

This individual serves as the primary point of coordination between Marolf's project teams, customers, and internal finance operations. They are expected to maintain clean, current receivables, proactively manage aging accounts, and communicate professionally with customers to resolve disputes, confirm receipt of invoices, and facilitate timely payment. This role requires strong attention to detail, a process-driven mindset, and the ability to manage multiple billing cycles and customer relationships simultaneously.

Qualifications:

Bachelor's degree in Finance, Accounting, Business Administration.

Key Responsibilities

Invoicing & Billing

Prepare and issue weekly and monthly invoices for all active projects, ensuring accuracy against executed contracts, change orders, and approved work completed.
Coordinate with Project Managers to confirm billing milestones, percent-complete figures, stored materials, and any contract-specific billing requirements prior to invoice submission.
Submit invoices through customer-required portals, platforms, or billing systems, ensuring compliance with each customer's invoicing procedures and deadlines.
Maintain organized invoice logs and billing schedules for all active and recently closed projects.
Process and track retainage billing, ensuring retainage is invoiced promptly upon project completion and contract terms are met.

Accounts Receivable Workflows & Statements

Own and maintain the company's accounts receivable workflow from invoice issuance through cash application, ensuring every transaction is accurately recorded and reconciled.
Generate and distribute monthly AR aging reports and customer statements, providing clear visibility into outstanding balances for internal leadership review.
Apply incoming payments accurately and promptly, reconciling remittances against open invoices and resolving any discrepancies with customers or internal teams.
Maintain up-to-date customer account records, ensuring all billing history, correspondence, and payment documentation is properly filed and accessible.

Collections

Proactively manage the collections process for all past-due accounts, following an established escalation workflow that prioritizes relationship preservation while protecting Marolf's financial position.
Initiate timely follow-up on unpaid invoices via phone, email, and written correspondence, documenting all collection activity in the AR system.
Identify and escalate high-risk or significantly aged accounts to the Controller or Director of Finance with a clear summary of account history and recommended next steps.
Collaborate with Project Managers and legal counsel as needed when accounts require formal demand letters, lien filings, or escalated collection action.

Lien Waivers & Releases

Prepare, track, and execute conditional and unconditional lien waivers and releases in accordance with project contract requirements and applicable state statutes.
Coordinate with Project Managers and the legal team to ensure lien waivers are issued only upon confirmed payment receipt and that releases are accurate in scope and dollar amount.
Maintain a complete and organized lien waiver log for every project, ensuring no release is issued without proper authorization and payment verification.
Monitor preliminary notice and lien filing deadlines to protect Marolf's lien rights on all active projects.

Customer Coordination & Communication

Serve as the primary point of contact for all billing and payment inquiries from customers, responding promptly and professionally to questions, disputes, and documentation requests.
Build and maintain strong working relationships with customer accounting departments, project owners, and general contractors to facilitate smooth billing and payment processes.
Coordinate with customers to resolve invoice disputes, obtain purchase order numbers, confirm billing contacts, and ensure invoices are routed correctly for approval and payment.
Communicate proactively with internal Project Managers and leadership regarding customer payment status, disputes, or concerns that may impact project relationships or cash flow.

Additional Responsibilities

Assist with month-end and year-end close processes as they relate to accounts receivable, providing accurate aging summaries and supporting documentation.
Support audits and financial reviews by providing organized AR records, invoice documentation, and payment histories upon request.
Perform other duties as assigned to support the smooth operation and growth of the company.
