Position summary

The Specialty Referrals Coordinator is responsible for the end-to-end intake, coordination, and scheduling of patient referrals to Community Clinic specialty services. This centralized, administrative role serves as a key point of coordination between referring providers, patients, and Community Clinic’s specialist care teams. This position owns the full referral lifecycle, including receipt, review, documentation, insurance verification, prior authorization, and scheduling. The Specialty Referrals Coordinator ensures all required clinical and administrative information is complete and accurate, enabling timely access to care and minimizing delays. This role plays a critical role in supporting patient access, front-end revenue cycle performance, and a seamless referral experience. This position is full-time and in-person at our Springdale Admin location in Springdale, AR. The schedule for this position is Monday - Friday 8:00 AM - 5:00 PM

Essential job functions

Receive and process incoming referrals via phone, fax, email, and electronic systems
Review referrals for completeness, appropriateness, and required clinical documentation
Enter and maintain accurate patient, referral, and insurance information in the electronic medical record (EMR) system
Verify insurance eligibility and benefits related to specialty services
Obtain and manage prior authorizations, including submission, follow-up, and documentation
Communicate with referring providers to obtain missing information, clarify orders, and ensure referral readiness
Coordinate directly with patients to complete intake, provide instructions, and schedule specialty appointments
Schedule patient appointments in alignment with specialty clinic protocols and provider availability
Track referral status from receipt through scheduling and authorization completion
Monitor and follow up on pending referrals and authorizations to prevent delays in care
Identify and escalate complex cases, denials, or barriers to access
Maintain organized and compliant documentation of all referral and authorization activities
Ensure compliance with HIPAA and organizational confidentiality standards
Collaborate with specialty clinics, care teams, and revenue cycle to support efficient workflows and accurate reimbursement
Support continuous improvement of referral, scheduling, and authorization processes
Other duties related to referrals, scheduling, and insurance verification, as assigned

Required qualifications

High school diploma or equivalent
1+ years of experience in healthcare administration, referral coordination, scheduling, or prior authorizations
Basic computer proficiency and ability to learn eClinicalWorks EHR software

Preferred qualifications

3+ years of experience in referral coordination, patient access, or specialty scheduling
Experience managing prior authorizations across multiple payers
Experience with eClinicalWorks EHR Software
Knowledge of specialty care workflows
Bilingual (English/Spanish or English/Marshallese)
