Full Job Description

The Assistant Catering & Events Director provides administrative and operational support to the lead Event Director or Banquet Manager. The role balances desk work, such as processing billing and organizing schedules, with physical on-site event management.

Key Responsibilities

Event Planning & Administrative Support

Process and distribute Banquet Event Orders (BEOs) to key departments.
Maintain data in event management platforms like Jonas Software.
Handle client inquiries, schedule initial consultations, and coordinate venue tours.
Manage event files, client contracts, invoices, and billing paperwork.

On-Site Execution & Operations

Oversee room setups, including table layouts, linens, and decor.
Inspect table settings, glassware, and overall room cleanliness before guests arrive.
Manage event timelines to ensure meals, speeches, and entertainment stay on track.
Troubleshoot tech issues involving lighting, sound, or media equipment.
Assist with post-event breakdown, inventory counts, and facility cleanup.

Staff Coordination

Assist the Banquet Captain with server and setup crew shift schedules.
Relay dietary restrictions, allergies, and menu changes directly to the kitchen.
Direct floor staff during service transitions to maintain service standards.

Requirements & Qualifications

Education: High school diploma or equivalent required; a degree in Hospitality Management or Event Planning is preferred.
Experience: 1–2 years of experience in hospitality, catering, or event coordination.
Technical Skills: Proficiency with catering software, seating chart tools, and Microsoft Office.
Physical Needs: Ability to stand for long periods and lift event gear weighing up to 30–50 lbs.
Certifications: A local food handler card or alcohol service certification may be required.

Key Skills Needed

Exceptional multitasking abilities to handle multiple moving parts simultaneously.
Clear verbal communication to lead team briefings and assist guests.
Strong problem-solving skills to quickly address sudden timeline or vendor shifts.
Strict attention to detail to ensure layouts match client requests exactly.

Job Type: Full-time

Pay: $40,000.00 - $50,000.00 per year
