Overview
We are seeking an energetic and detail-oriented Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your positive attitude and organizational skills will help create a professional and friendly environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while supporting daily operations with efficiency and enthusiasm.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems, answer inquiries, transfer calls accurately, and take detailed messages when necessary.
Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office.
Perform data entry, filing, proofreading, and maintain organized records to support office operations.
Assist with clerical tasks such as photocopying, faxing, mailing, and managing office supplies inventory.
Provide customer support by addressing questions professionally and directing inquiries to appropriate departments.
Support office management duties including bookkeeping using QuickBooks or similar software, maintaining accurate records of transactions.

Experience

Previous office experience or administrative support roles demonstrating strong organizational skills.
Proven customer service experience with excellent phone etiquette and interpersonal skills.
Familiarity with computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Experience with clerical tasks such as data entry, filing, proofreading, and calendar management.
Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
Knowledge of medical or dental receptionist duties or personal assistant experience is advantageous but not required.
Demonstrated ability to multitask efficiently while maintaining attention to detail and managing time effectively.
