Administrative & Accounting Coordinator

Department: Corporate Office
FLSA Status: Non-Exempt (Hourly)
Pay Range: $22.00 - $28.00 per hour DOE
Type: In-Office M-F
Location: River Oaks

Position Summary:

Lapis Management LLC is seeking a highly organized and detail-oriented invidividual to support our Corporate Office. This role is responsible for ensuring the smooth day-to-day operation of the office while providing administrative, accounting, and bookkeeping support to multiple departments.

The ideal candidate is dependable, proactive, service-oriented, and enjoys working in a fast-paced environment where confidentiality, accuracy, and professionalism are essential. This position offers an opportunity to grow within a dynamic organization.

Essential Duties and Responsibilities:

Administrative Support

Greet and welcome visitors while providing a professional first impression of the Corporate Office.
Answer and direct incoming telephone calls.
Manage incoming and outgoing mail, packages, and corporate correspondence.
Maintain organized filing systems and document retention procedures.
Order, monitor, and maintain office supplies and equipment.
Coordinate office vendors and service providers as needed.
Maintain vendor, and corporate records.
Assist with preparing meeting materials and coordinating office logistics.
Serve as backup support for the Executive Assistant, including business and occasional personal administrative requests.
Assist various corporate departments with special projects and administrative support.
Perform other duties as assigned.

Accounting & Bookkeeping Support

Process accounts payable invoices and ensure timely vendor payments.
Assist with accounts receivable functions, including customer invoicing and payment tracking.
Accurately enter financial transactions into the accounting system.
Reconcile bank accounts, credit card statements, and other financial records.
Maintain organized accounting files and supporting documentation.
Assist with month-end close procedures.
Support year-end accounting activities and audit preparation.
Assist with payroll processing and related administrative tasks.
Communicate with vendors regarding invoices, payment status, and account inquiries.
Ensure accounting records are maintained accurately and confidentially.

Qualifications:

High School Diploma or GED required.
Associate degree in Accounting, Business Administration, or related field preferred.
2+ years of administrative, bookkeeping, accounting, or office support experience preferred.
Strong Microsoft Office skills, particularly Excel.
Strong organizational, communication, and time management skills.
Ability to maintain confidentiality and handle sensitive information
Proficiency in Sage (Sage Intacct Preferred)
Ability to work independently and manage multiple priorities
Excellent organizational and time-management skills
Strong written and verbal communication skills
Experience working with multiple entities (LLCs, trusts, partnerships)
Highly detail-oriented with strong follow-through
Service-minded and solutions-focused attitude.

Physical Requirements:

Prolonged periods of sitting and working at a computer. Ability to occasionally lift up to 25 pounds.

Pay: $22.00 - $28.00 per hour
