Academic Affairs Coordinator

Reports To: Director of Academic Affairs & Human Resources

Position Summary
The Academic Affairs Coordinator & Registrar is responsible for coordinating the day-to-day administrative operations of Academic Affairs and Registrar services. This position maintains student academic records, coordinates registration and course scheduling, monitors Satisfactory Academic Progress (SAP), prepares institutional and regulatory reports, and supports faculty and students throughout the academic lifecycle. The Academic Affairs Coordinator & Registrar also coordinates graduation processing, maintains academic records, and assists with the implementation of academic policies and procedures to ensure compliance with institutional, accreditation, and state requirements.

Essential Duties and Responsibilities
Academic Affairs

Coordinate the daily administrative functions of Academic Affairs and provide support to faculty, staff, and students.
Assist students with program changes, course adds/drops, schedule changes, and other academic administrative processes.
Monitor student academic progress and coordinate the institution's Satisfactory Academic Progress (SAP) process, including required notifications and documentation.
Schedule students who are off track and coordinate appropriate academic interventions.
Serve as a resource for students regarding academic policies, procedures, and graduation requirements.

Registrar & Student Records

Maintain accurate and complete student academic records within the Student Information System (Top School).
Process transcript requests and maintain official transcript records, including submission to the Pennsylvania Central Repository as required.
Perform degree audits and verify graduation eligibility.
Prepare and maintain student academic files and related documentation.
Maintain communication with agency sponsors regarding sponsored student academic progress and attendance.
Ensure confidentiality and integrity of student records in accordance with FERPA and institutional policies.

Graduation & Academic Operations

Coordinate end-of-term and graduation activities, including preparation of graduation lists, diplomas, certificates, Dean's List certificates, honors recognition, and commencement documentation.
Assist in the development, maintenance, and implementation of academic policies, procedures, forms, and operational documents.
Participate in accreditation activities, institutional committees, special projects, and other duties as assigned.

Qualifications

Education

Associate degree preferred.

Experience

Two years of experience in higher education administration, registrar services, student records, or a related field preferred.

Knowledge, Skills, and Abilities

Knowledge of registrar functions, student records management, FERPA, and academic administrative processes a plus.
Strong organizational, analytical, and problem-solving skills.
Excellent written, verbal, and interpersonal communication skills.
Ability to manage multiple priorities while maintaining accuracy and confidentiality.
Ability to work collaboratively with students, faculty, staff, and external agencies.
