The Executive Housekeeper is responsible for leading all housekeeping operations across a luxury private ranch and estate, ensuring the highest standards of cleanliness, organization, presentation, and guest readiness throughout the property. This leadership role oversees multiple residences, guest accommodations, staff housing, offices, recreational facilities, barns, and support buildings while maintaining a seamless five-star hospitality experience for homeowners and guests.
The Executive Housekeeper develops and manages housekeeping systems, supervises and trains staff, establishes quality-control standards, oversees inventories and budgets, and works closely with estate management to anticipate homeowner needs and prepare the property for daily living, special events, and visiting guests.
This is a hands-on leadership position requiring exceptional attention to detail, outstanding organizational skills, discretion, professionalism, and the ability to lead by example while maintaining luxury hospitality standards.
Essential ResponsibilitiesHousekeeping Leadership
- Lead, supervise, coach, train, and evaluate all housekeeping personnel.
- Create employee schedules while maintaining appropriate staffing levels based on occupancy, events, and seasonal demands.
- Develop daily, weekly, monthly, quarterly, and annual housekeeping schedules for every residence and estate building.
- Establish and maintain luxury housekeeping standards and operating procedures.
- Conduct daily inspections to ensure consistent quality throughout the estate.
- Lead by example by assisting the housekeeping team whenever necessary.
- Promote teamwork, accountability, efficiency, and continuous improvement.
Estate Housekeeping Operations

Responsibilities include:
- Maintaining all properties in immaculate, guest-ready condition.
- Coordinating routine cleaning and preventive housekeeping.
- Managing seasonal deep-cleaning programs.
- Preparing residences before homeowner arrivals.
- Restoring residences after departures.
- Supporting estate events and entertaining.
- Ensuring every property consistently reflects luxury hospitality standards.
Quality Assurance & Property Presentation
- Perform detailed inspections of all residences and estate facilities.
- Verify exceptional cleanliness and organization throughout every space.
- Ensure luxury presentation standards are consistently maintained.
- Inspect furniture, artwork, flooring, fixtures, windows, mirrors, lighting, and décor.
- Confirm bedrooms, bathrooms, kitchens, living areas, and outdoor entertaining spaces are guest-ready.
- Monitor HVAC systems, lighting, fireplaces, security systems, windows, and doors for proper operation.
- Report maintenance concerns promptly and follow through until completion.
Laundry & Linen Management
- Oversee all laundry operations throughout the estate.
- Ensure proper care of luxury linens, bedding, towels, table linens, uniforms, and specialty fabrics.
- Maintain laundering standards for delicate materials and high-end furnishings.
- Monitor linen inventory and replacement schedules.
- Coordinate seasonal linen rotations and specialty cleaning services.
Inventory Management
Manage inventory for:
- Linens
- Towels
- Bedding
- Toiletries
- Guest amenities

Responsibilities include:
- Maintaining organized storage areas.
- Performing routine inventory counts.
- Forecasting supply needs.
- Ordering supplies before shortages occur.
- Monitoring product quality and cost control.
- Assisting with departmental budgeting.
Staff Development & Training
- Train new housekeeping employees.
- Develop written housekeeping procedures and standards.
- Conduct ongoing performance coaching.
- Cross-train staff throughout the estate.
- Promote safe work practices.
- Maintain OSHA and safety compliance.
- Foster professionalism, respect, accountability, and teamwork.
Guest & Homeowner Services
- Prepare residences before homeowner and guest arrivals.
- Coordinate welcome amenities and special requests.
- Ensure every residence exceeds expectations prior to occupancy.
- Respond promptly to homeowner requests.
- Provide exceptional hospitality with discretion and professionalism.
- Maintain absolute confidentiality regarding homeowners, guests, schedules, and estate operations.
Maintenance Coordination
- Identify maintenance concerns before they become larger issues.
- Coordinate repairs with estate maintenance personnel and outside vendors.
- Track completion of work orders.
- Follow up to ensure repairs meet estate standards.
- Assist with preventive maintenance planning.
Administrative Responsibilities
- Maintain housekeeping checklists and cleaning schedules.
- Complete inspection reports and quality-control documentation.
- Track inventory and purchasing.
- Assist with annual departmental budgeting.
- Recommend operational improvements.
- Develop efficient housekeeping systems and procedures.
- Support planning and preparation for estate events.
- Maintain housekeeping manuals and standard operating procedures.
QualificationsRequired
- Minimum of five years of housekeeping leadership experience in a luxury hotel, resort, private club, estate, or high-end private residence.
- Previous supervisory or management experience.
- Strong leadership and team-building skills.
- Excellent organizational and time-management abilities.
- Outstanding attention to detail.
- Strong verbal and written communication skills.
- Ability to manage multiple projects simultaneously.
- High level of integrity and discretion.
- Knowledge of luxury furnishings, antiques, artwork, stone surfaces, hardwood flooring, specialty finishes, and fine fabrics.
- Experience caring for high-end linens and specialty materials.
- Proficiency with Microsoft Office and digital scheduling systems.
- Valid driver’s license with an acceptable driving record.
- Ability to lift up to 40 pounds and perform physical housekeeping duties when necessary.
- Flexible schedule, including evenings, weekends, holidays, and special events as required.
Preferred Qualifications
- Experience working on a luxury private estate or family office.
- Hospitality or luxury resort background.
- Bilingual (English/Spanish) preferred.
- CPR/First Aid certification.
