Position Overview
A privately held multifamily property management organization is seeking an accomplished Senior Property Manager to oversee a four-property residential portfolio in Tacoma, Washington.
This is a high-impact leadership position for a motivated, disciplined, and operationally sophisticated property management professional who can take full ownership of portfolio performance. The Senior Property Manager will lead on-site property management, leasing, and maintenance teams while maintaining strong control over financial results, property conditions, resident experience, vendor performance, unit readiness, and operational compliance.
The successful candidate will be an exceptionally strong people leader who knows how to establish clear expectations, develop employees, hold teams accountable, and create a culture of urgency, professionalism, and follow-through. This individual must be equally comfortable reviewing financial statements, coaching leasing performance, inspecting a mechanical room, challenging a vendor proposal, and building a preventative maintenance strategy.
This is not a passive oversight role. We are looking for a highly engaged leader who understands every aspect of multifamily operations and is prepared to drive measurable results across all four communities.
Key ResponsibilitiesPortfolio Leadership and Team Development
- Provide direct leadership and operational oversight for four multifamily communities.
- Lead, coach, train, and develop property management, leasing, and maintenance personnel.
- Establish clear performance expectations, operating standards, and accountability measures for each team member.
- Conduct regular team meetings, property walks, one-on-one coaching sessions, and performance evaluations.
- Identify staffing needs and participate in recruiting, interviewing, onboarding, training, and performance management.
- Build a collaborative, results-oriented culture centered on accountability, professionalism, resident service, and property performance.
- Ensure property managers and maintenance leaders communicate effectively and operate as one unified team.
- Develop team members’ skills so they can independently resolve problems, manage priorities, and execute company standards.
Maintenance Leadership and Property Operations
- Provide strong, informed leadership to the Maintenance Supervisor and maintenance team.
- Train and hold maintenance personnel accountable for work-order completion, unit turns, property inspections, preventative maintenance, inventory control, safety, and resident communication.
- Establish and monitor preventative maintenance programs for building systems, equipment, common areas, grounds, and apartment interiors.
- Review work-order volume, aging, completion times, repeat service requests, resident satisfaction, and outstanding maintenance needs.
- Ensure unit turns are completed efficiently, within budget, and to established quality and readiness standards.
- Monitor turn schedules, vendor assignments, material costs, labor productivity, and move-in deadlines.
- Conduct regular property, building, grounds, vacant-unit, shop, storage, and mechanical-system inspections.
- Identify deferred maintenance, safety concerns, operational risks, and capital needs before they escalate.
- Partner with maintenance leadership to troubleshoot issues and determine when work should be completed in-house versus outsourced.
- Oversee emergency response procedures, after-hours maintenance protocols, and on-call performance.
- Ensure maintenance operations comply with applicable laws, safety requirements, manufacturer recommendations, and company policies.
Financial Management and Budget Accountability
- Take full ownership of the financial performance of the assigned portfolio.
- Prepare, manage, and monitor annual operating and capital budgets for all four properties.
- Review monthly financial statements, general ledgers, variance reports, accruals, invoices, purchase orders, and budget-to-actual performance.
- Prepare clear, accurate, and timely financial reporting with meaningful explanations of variances, risks, and corrective actions.
- Monitor revenue, concessions, delinquency, bad debt, utility recovery, payroll, repairs and maintenance, contract services, unit-turn expenses, and controllable operating costs.
- Develop strategies to improve net operating income while protecting property condition and resident experience.
- Ensure maintenance, preventative maintenance, unit-turn, vendor, and capital expenditures remain within approved budgets.
- Review bids, challenge unnecessary costs, negotiate pricing, and verify that completed work aligns with approved scope.
- Maintain accurate forecasts for upcoming expenses, property needs, staffing costs, vacancy exposure, and capital projects.
- Ensure invoices are coded correctly, supported by appropriate documentation, and processed on time.
- Identify financial risks early and implement actionable recovery plans.
Yardi and Operational Reporting
- Maintain a high level of proficiency in Yardi Voyager and related property management functions.
- Use Yardi to monitor leasing activity, occupancy, delinquency, work orders, purchase orders, resident accounts, renewals, financial activity, and operational reporting.
- Ensure data entered by property teams is complete, timely, and accurate.
- Review dashboards and reports to identify performance gaps, trends, and areas requiring immediate attention.
- Train and support team members in the proper use of Yardi and reinforce consistent system practices.
- Maintain complete documentation of property activity, vendor work, inspections, resident matters, and operational decisions.
Vendor and Contract Management
- Manage all property vendors, service providers, contractors, and recurring maintenance agreements.
- Develop clear scopes of work and obtain competitive bids when required.
- Evaluate vendors based on pricing, responsiveness, workmanship, professionalism, compliance, and ability to meet deadlines.
- Negotiate contracts and service agreements while protecting the operational and financial interests of the portfolio.
- Ensure vendors meet insurance, licensing, safety, and compliance requirements before beginning work.
- Inspect completed work and verify quality before approving invoices for payment.
- Track vendor performance and replace underperforming service providers when necessary.
- Maintain strong control over landscaping, janitorial, pest control, elevator, fire and life safety, HVAC, plumbing, electrical, security, waste management, restoration, and other property service contracts.
- Prevent unnecessary vendor dependence by ensuring maintenance teams are trained and equipped to complete appropriate work internally.
Leasing, Revenue, and Resident Experience
- Oversee leasing performance, occupancy, traffic management, follow-up practices, renewals, and resident retention.
- Hold teams accountable for timely prospect response, consistent follow-up, professional tours, accurate availability, and effective closing.
- Review market conditions, competitor performance, pricing, concessions, and leasing velocity.
- Develop property-specific strategies to improve occupancy, revenue, renewals, and resident satisfaction.
- Ensure vacant apartments are turned, inspected, marketed, and made available without unnecessary delay.
- Monitor delinquency and ensure teams follow established collection procedures consistently.
- Provide leadership on complex resident concerns, escalations, lease enforcement matters, and service recovery.
- Maintain a professional, responsive, and solutions-focused resident experience across the portfolio.
- Ensure compliance with Fair Housing requirements and all applicable landlord-tenant regulations.
Compliance, Risk Management, and Property Standards
- Ensure all properties operate in accordance with applicable federal, state, and local laws.
- Maintain compliance with Fair Housing, workplace safety, housing regulations, lease requirements, and company policies.
- Oversee property inspections, documentation, incident reporting, insurance claims, and risk-management procedures.
- Ensure resident files, notices, maintenance records, vendor documentation, and financial records are accurate and complete.
- Respond promptly to safety concerns, property damage, resident incidents, building-system failures, and operational emergencies.
- Maintain consistently high standards for curb appeal, cleanliness, signage, landscaping, common areas, offices, model units, amenities, and vacant homes.
Required Qualifications
- Minimum of five years of progressive multifamily property management experience.
- Previous experience overseeing multiple apartment communities or a large, complex multifamily asset.
- Demonstrated success leading property management, leasing, and maintenance teams.
- Strong knowledge of apartment maintenance operations, unit turns, preventative maintenance, vendor management, and capital planning.
- Advanced proficiency in Yardi Voyager is strongly required.
- Proven experience preparing and managing operating and capital budgets.
- Strong financial acumen, including the ability to analyze financial statements, general ledgers, variance reports, and property performance metrics.
- Experience developing financial forecasts, corrective action plans, and expense-control strategies.
- Strong knowledge of Fair Housing laws and applicable Washington landlord-tenant requirements.
- Demonstrated ability to lead through accountability, coaching, training, and performance management.
- Excellent written and verbal communication skills.
- Highly organized, decisive, and capable of managing competing priorities across multiple locations.
- Strong problem-solving skills and the ability to make sound operational decisions under pressure.
- Valid driver’s license, reliable transportation, and the ability to travel regularly between assigned properties.
Preferred Qualifications
- Seven or more years of multifamily property management experience.
- Previous Senior Property Manager, Regional Manager, or multi-site leadership experience.
- Experience overseeing renovation programs, capital improvements, repositioning projects, or underperforming assets.
- Experience building and implementing preventative maintenance programs.
- Experience improving occupancy, collections, resident retention, property condition, and net operating income.
- Industry certifications such as CAM, CAPS, CPM, ARM, or equivalent professional credentials.

Schedule and Availability
