Job Overview

We are seeking a dedicated and detail-oriented Order Processing & Administrative Coordinator to support our daily operations and ensure seamless order management. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with office management tools. This role offers an opportunity to contribute to a dynamic team, streamline administrative processes, and enhance client satisfaction through efficient order handling and administrative support. Shift is Monday - Friday 8:00 am to 4:00 pm

Duties

Process incoming orders accurately and efficiently using relevant software such as QuickBooks, Outlook and Microsoft Office applications.
Manage data entry tasks related to orders, client information, and inventory updates with precision and attention to detail.
Provide professional customer service and support to clients, vendors, and internal staff.
Maintain organized filing systems for documentation, correspondence, and confidential information in both digital and physical formats.
Support bookkeeping activities by reconciling accounts, managing invoices, and tracking payments using QuickBooks or similar accounting tools.
Collaborate with team members on project coordination, proofread documents for accuracy, and ensure timely completion of administrative tasks.

Skills

Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational skills and attention to detail.
Exceptional communication skills both via phone etiquette and written correspondence.
Demonstrated ability to handle confidential information responsibly with integrity.
Proven customer service skills with the ability to manage client communication effectively.
Familiarity with office equipment Microsoft systems, printers, and fax machines.
Strong time management skills coupled with the ability to prioritize tasks efficiently.
