Job Overview

We are seeking a dynamic and highly organized Regional Assistant to join our team! This energetic role is vital in supporting regional operations, ensuring smooth office functions, and fostering excellent communication across multiple locations. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for delivering outstanding administrative support. As a Regional Assistant, you will be the backbone of our regional team, managing diverse tasks that keep our operations running seamlessly and efficiently. Responsibilities

Provide comprehensive administrative support to regional managers and teams, including calendar management, scheduling meetings, and coordinating travel arrangements.
Manage front desk duties with professionalism, greeting visitors warmly and handling multi-line phone systems with confidence and clarity.
Maintain accurate records through data entry, filing, and document proofreading to ensure all information is current and accessible.
Handle bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and financial documentation.
Support office management activities such as ordering supplies, organizing files, and overseeing general office upkeep to create an efficient workspace.
Communicate effectively with clients and internal teams via phone, email, and in-person interactions while maintaining confidentiality of sensitive information.
Assist with client communication efforts by preparing correspondence, follow-ups, and supporting customer service initiatives to enhance client satisfaction.

Experience

Proven experience in office management or administrative roles with a strong background in clerical support.
Familiarity with QuickBooks for bookkeeping tasks and Microsoft Office Suite (Word, Excel, Outlook) for daily operations.
Excellent computer skills including data entry, Google Workspace applications (Docs, Sheets), and general computer literacy.
Personal assistant or executive support experience is a plus, especially in managing calendars and supporting busy executives.
