Annie Wright is seeking a Program Registrar for Auxiliary Programs and Administrative Assistant for Arts to begin on August 17, 2026. This is a full-time, hourly staff position that reports to the Director of Arts.

Position Description
The Program Registrar and Arts Assistant is detail-oriented, organized, and passionate about supporting student programming beyond the academic curriculum. They are driven by a desire to see systems function efficiently and to maintain a high-level of customer service. The Program Registrar and Arts Assistant is comfortable engaging with a variety of stakeholders and thrives in both independent, systems-oriented work and dynamic collaboration with a team. The Program Registrar and Arts Assistant seeks to ensure that the experience of our instructors, families, and students is secure and seamless.
The Program Registrar and Arts Assistant is integral in supporting the efficiency of robust, year-round extra-curricular arts and athletics programming for students between 5 and 18, and unique (s)Electives programs for our Upper School Division. With over 700 registrants in team sports, ensemble arts programs, or (s)Electives each season, the Program Registrar and Arts Assistant designs and launches enrollment forms, maintains active rosters and attendance systems, accounts for program supplies, bolsters coach/artist resources, supports hiring and onboarding for seasonal contracts in collaboration with HR, assists with special concerts/evening programming, and works with the Schools’ Marketing and Communications team to help promote program-specific campaigns.

Position Overview: Duties & Responsibilities
The Program Registrar and Arts Assistant:
- Functions as joint registrar for all auxiliary programs, including seasonal Arts & Athletics, Extended Day, (s)Electives, and Summer Programs;
- Liaises between auxiliary programs to facilitate alignment in attendance & academic eligibility policies, and programmatic or thriveability surveys;
- Builds and maintains sections and active rosters for each seasonal art, athletic, and (s)Elective program and aligns them with daily attendance reports;
- Supports events and programs, including calendaring, set-up, and maintenance/facilities requests for special arts and/or athletics events, including banquets and special showcases;
- Interacts with program coaches and instructors, participant guardians, divisional administration, and student support teams, specifically the Auxiliary and Summer Program Director, Athletic Director, and Director of Student Experiences to ensure streamlined scheduling, transitions, and accountability for student participants;
- Works confidently within rostering, scheduling, and directory platforms, including Blackbaud, Sawyer, Excel, and Google Sheets;
- Orders and organizes arts-program inventories and seasonal supplies, including visual art supplies, instruments and sound equipment, scripts and scores, etc;
- Codes and submits receipts for arts departmental expenses;
- Interacts with and, as needed, supervises Grades K-12 students during program transitions;
- Partners with the Schools’ Marketing and Communications Department to facilitate program marketing and communications, including seasonal registrations and promotional materials, and assists in providing content for social and other media sharings;
- Works with HR to support onboarding and exit activities for seasonal instructional contracts;
- Is able to work Monday - Friday, 9:00 am - 5:30 pm during the academic school year, with adjusted hours during summer programming, likely 8:00 am - 4:30 pm, and is able to occasionally flex their schedule for evening or weekend programming (which will be scheduled in advance).
Qualifications
The Program Registrar and Arts Assistant will demonstrate key elements of the listed expertise and experiences. This is an aspirational list, and Annie Wright Schools encourages candidates to apply who may not currently possess but are working on building all of these qualities. The Program Registrar and Arts Assistant:
- Holds, at minimum, an associate’s degree and/or two years of administrative experience, ideally in an arts-based, community-based, or educational environment;
- Demonstrates fluency with and between various administrative platforms, especially those centered on school-based scheduling and rostering;
- Has strong attention to detail, organizational, and communication skills;
- Steadily maintains multi-faceted systems and routines in a dynamic and fast-paced environment;
- Practices cultural humility in personal interactions;
- Is available to work year-round on school days and during school breaks;
- And, is eligible to work in the United States. Note: Under our current employment policies, we are unable to sponsor work visas and do not offer positions to candidates who are not yet eligible to work in the United States.
Physical Requirements
- Prolonged periods of sitting at a desk and operating systems on a computer
- Must be able to move/traverse the building and grounds to support programming in a range of campus locations
- Must be able to lift and carry or otherwise move 25 pounds on occasion
- Physical ability to work around small children, including sitting, standing, running, and climbing stairs
Salary and Benefits
This position offers an hourly rate of $25.45 per hour. Benefits available to the hired candidate for the Program Registrar and Arts Assistant position include the following, subject to the terms of the applicable benefit plan:

- Fifty percent (50%) tuition remission in accordance with school policy. All fees and incidental expenses are the sole responsibility of the employee-parent
- All children of benefited employees of AWS, who are currently enrolled at AWS, are eligible for extended day services at no charge when school is in session. Charges apply for faculty in-service days or similar days
- A 403(b) retirement plan with a 6% company match and a 3% employee contribution
