Job Summary:
The CRM Database Manager, reporting to the Senior Director of Corporate Engagement, functions to create and maintain the highest level of database integrity and efficient utilization of the customer relationship management (CRM) system. This person will be accountable to grow and maintain membership/prospect records, table and record coding for consistent data entry and reliable database reporting, queries, and marketing use (no program/coding experience required). Requires thoughtful analysis of how to utilize CRM codes to track member and individual interests to maximize marketing and messaging capabilities. A high level of customer service and relationship building is required to work with both internal (staff) and external (members) customers. The person in this position plays a key role in working with the team to best utilize the CRM system regarding membership sales information, membership communication and retention, internal database functions, and other CRM utilizations to meet the Chamber’s strategic goals.
Responsibilities
Responsible for providing CRM/database management and administration that supports enterprise goals.
· Work with supervisor to lead database conversion to maintain the highest level of database integrity and efficient utilization to grow and maintain membership/prospect records, reporting, and marketing use.
· Create standard operating procedure (SOP) guide for new CRM (in conjunction with key department members utilizing specific functions such as Membership, Accounting, Marketing/Communications, etc.)
· SOP to include enterprise-wide standard data entry criteria.
· SOP to include table code definitions for clarity and standardization of use both now and for future team members for consistency throughout the years ahead.
· Create and set internal staff expectations, provide team training, and hold staff accountable for using the CRM per expectations and standards.
· Assist FCC Enterprise users in the creation and updating of reports in response to requests from a variety of sources.
· Work in conjunction with supervisory and parallel staff to design, structure and manage database to be shared by a variety of audiences.
· Responsible for back-office database design solutions. Is responsible for database performance monitoring and analysis. Uses performance-monitoring data to assist Chamber staff with the development of efficient working methods to meet strategic goals.
· Provides and ensures training in the efficient use of the database in the areas of file maintenance, data extraction and reporting. Maintains comprehensive database dictionary that documents unique procedures specific to the Chamber’s database implementation.
· Assists database web-component design and implementation. Responsible for data integration between online community and back-office database.
· Responsible for granting and revoking database access to users. Maintains comprehensive database user profiles.
· Assists users with design and creation of data queries, and data import.
· Maintains up-to-date knowledge of database technologies, systems, techniques, security, and connectivity (in conjunction with our contracted IT partner who handles hardware, networks, and security).
· Participates in professional development activities, and job-related training and educational courses.
· Provides engagement tracking and measurement support to enterprise, including new and ongoing processes.
Communication and Writing:
· Utilize strong communication and writing skills to effectively communicate with staff, members and to create/maintain CRM process documentation.
· Demonstrate relationship-building experience to foster meaningful connections with members and to identify member needs for database reliability.
Qualifications
· Experience with CRM systems, administration, conversion, and table coding structure development and maintenance (programming coding experience not required).
· Very strong proficiency in Microsoft Suite, especially in Excel and Word, including PowerPoint
· Previous experience in a membership or customer relations role preferred.
· Knowledge of membership/customer retention and engagement strategies.
· Strong organizational and time management skills.
· Excellent written and verbal communication skills.
· Attention to detail and ability to maintain accurate records.
· Must have strong general computer skills and ability to utilize and learn CRM system.
· Proficiency in Microsoft Suite, particularly Word, Excel, and PowerPoint.
· Ability to build and maintain relationships with staff and members.
· Strong problem-solving and decision-making skills.
· Knowledge of event planning and execution is a plus.
