Overview

Our busy medical practice is seeking an experienced, highly organized, and motivated Office Services Manager to oversee daily office functions while providing hands-on support to our team. The ideal candidate will possess strong leadership, communication, and problem-solving skills and will thrive in a fast-paced healthcare environment.

This is a working supervisor position requiring both leadership and direct involvement in daily operations.

Responsibilities include, but are not limited to:

Maintaining medical office operations, policies, and procedures while ensuring efficiency and consistency across departments.
Assigning, monitoring, and supporting administrative and clerical functions.
Monitoring patient flow and identifying opportunities to improve the patient experience.
Supervising office staff while fostering open communication, teamwork, and accountability.
Recruiting, onboarding, training, and mentoring employees.
Maintaining a thorough understanding of staff roles and responsibilities to provide support as needed.
Developing and implementing office procedures and measuring outcomes to improve performance.
Collecting, monitoring, and analyzing statistical reports, productivity metrics, and key performance indicators (KPIs).
Responding effectively to operational issues and resolving challenges as they arise.

Qualifications

Strong leadership, organizational, and time-management skills.
Excellent written and verbal communication skills.
Knowledge of electronic health record (EHR) systems is beneficial but not required.
Familiarity with medical insurance plans, authorizations, and reimbursement processes is beneficial but not required.
Experience with scheduling, workflow management, and productivity analysis.
Strong analytical and problem-solving skills.
Proficiency with spreadsheets and reporting tools.
Dependable, reliable, self-motivated, and patient-focused.
Ability to work effectively as both a leader and a team member.
Degree not required but preferred.
