POSITION OVERVIEW AND RESPONSIBILITIES:
This is a highly responsible professional position that serves as the Division's Special Projects Coordinator and works under the direction of the Division of Elder Opportunities Director to coordinate strategic initiatives, community partnerships, public education efforts, research activities, and special projects that support the Division's mission and priorities.
PAY:
The hourly rate of pay pay will be commensurate with experience and qualifications, ranging from $15.00 to $20.00, hourly.
DUTIES AND RESPONSIBILITIES:
Strategic Initiatives & Special Projects - This is a highly responsible professional position that works under the direction of the Division of Elder Opportunities Director as a Special Projects Coordinator. The incumbent coordinates and supports the development, implementation, monitoring, and evaluation of strategic initiatives, pilot projects, and special assignments that advance the mission and priorities of the Division of Elder Opportunities.
Responsibilities include conducting research and environmental scans to identify emerging trends, best practices, funding opportunities, and innovative approaches related to aging services, fraud prevention, disaster preparedness, volunteer engagement, digital literacy, and other Division priorities. Assists in the planning, coordination, implementation, and evaluation of new programs, initiatives, and service delivery models.
Develops project plans, timelines, reports, presentations, briefing materials, and recommendations for leadership. Monitors project progress, identifies barriers to implementation, and recommends corrective actions to support successful project outcomes. Assists with policy development, process improvement activities, and continuous quality improvement efforts designed to enhance program effectiveness and operational efficiency.
Provides research, analysis, and technical support for special projects, legislative requests, Legislative Budget Requests (LBRs), budget development activities, grant proposals, executive assignments, strategic planning initiatives, and other Division priorities. Assists in preparing executive correspondence, presentations, reports, briefing materials, and other documents for agency leadership, external stakeholders, and elected officials.
Conducts research and analysis of comparable state, federal, and national programs to identify best practices, emerging trends, and opportunities for program enhancement. Develop recommendations to support leadership decision-making and the successful implementation of Division initiatives.
Community Partnerships, Outreach, and Public Engagement - Develops, maintains, and strengthens collaborative relationships with local, state, federal, nonprofit, academic, and private-sector organizations that support the mission and priorities of the Division of Elder Opportunities. Serves as a liaison between the Division and community partners to promote awareness of Department programs, services, initiatives, and resources available to older adults throughout Florida.
Coordinates and participates in community outreach activities, stakeholder meetings, conferences, workshops, and special events designed to educate the public and increase awareness of aging services, elder rights, fraud prevention, disaster preparedness, digital safety, volunteer opportunities, and other Division priorities. Assists in the planning, organization, promotion, implementation, and evaluation of statewide and regional events, training, and public awareness initiatives.
Coordinates with the OVCS Coordinator and other Division staff to support volunteer engagement, training activities, outreach initiatives, special events, and other collaborative projects that advance Division priorities and expand community impact.
Develops and delivers presentations, educational programs, and technical assistance to community groups, professional organizations, volunteers, and other stakeholders. Assists with the development of outreach materials, educational resources, toolkits, communication materials, and public awareness campaigns that support Division initiatives and strategic objectives.
Identifies opportunities to expand community engagement and partnership development efforts. Coordinates information sharing among internal and external stakeholders and assists in establishing collaborative partnerships that enhance service delivery, increase public awareness, and support the successful implementation of Division programs and initiatives.
Represents the Division at meetings, conferences, workgroups, and public events as assigned. Maintains knowledge of community resources and partner organizations to facilitate collaboration, referral pathways, and coordinated service delivery efforts that benefit older Floridians.
Fraud Prevention, Public Education & Special Initiatives - Assists in the development, implementation, and evaluation of public education and awareness initiatives designed to improve the safety, well-being, and independence of older adults throughout Florida. Supports Division efforts related to fraud prevention, financial exploitation awareness, digital literacy, cybersecurity education, disaster preparedness, elder rights, and other issues affecting older adults and caregivers.
Coordinates activities associated with statewide awareness campaigns, educational programs, community engagement initiatives, and special projects. Assists in developing educational materials, presentations, outreach resources, toolkits, training materials, and communication content designed to increase public awareness and promote informed decision-making.
Researches and monitors emerging issues, trends, and threats impacting older adults, including fraud schemes, scams, identity theft, financial exploitation, cybersecurity threats, and other consumer protection concerns. Prepares reports, summaries, recommendations, and educational resources to support leadership decision-making, stakeholder engagement, and public awareness efforts.
Collaborates with Division staff, Area Agencies on Aging, Aging and Disability Resource Centers, community organizations, and other stakeholders to support prevention-focused initiatives and public education activities. Assists in evaluating program effectiveness, identifying opportunities for improvement, and recommending strategies to enhance outreach, education, and community engagement efforts.
Program Analysis, Reporting & Administrative Support - Conducts research, analysis, and evaluation activities to support Division programs, initiatives, and operational priorities. Collects, reviews, analyzes, and interprets programmatic, financial, performance, and other relevant data to identify trends, measure outcomes, and support informed decision-making. Assists with monitoring performance measures, project outcomes, and program deliverables to support accountability, reporting requirements, and continuous quality improvement efforts.
Prepares reports, presentations, briefing materials, issue papers, executive summaries, correspondence, technical documents, and other written materials for Division leadership, agency executives, external stakeholders, and elected officials. Assists in the development of responses to legislative inquiries, information requests, audits, public records requests, and other special assignments.
Provides support for budget development activities, Legislative Budget Requests (LBRs), grant proposals, strategic planning efforts, performance measures, and program evaluation initiatives. Assists in tracking project milestones, deliverables, performance outcomes, and implementation activities to ensure timely completion of Division priorities.
Maintains records, documentation, and reporting systems necessary to support Division operations and program activities. Assists with the preparation, review, and submission of recurring reports, management updates, status reports, and other required documentation. Coordinates information gathering and communication among internal and external stakeholders to support program operations and special projects.
Emergency Management & Disaster Response - Serves as a member of the Department of Elder Affairs Disaster Response Team (DDRT) and assists with emergency preparedness, response, recovery, and mitigation activities that support older adults affected by disasters and emergency events.
Participates in disaster planning, training, exercises, and deployment activities in coordination with Department leadership, state agencies, local governments, community partners, and emergency management stakeholders. Assists with the development and implementation of disaster preparedness resources, outreach materials, training activities, and special projects designed to enhance disaster readiness and resilience among older adults and caregivers.
Incumbent may be required to work before, during, and/or beyond normal work hours or days in the event of an emergency. Emergency duties may include deployment to shelters, Special Needs Shelters, Multi-Agency Resource Centers (MARCs), Disaster Recovery Centers (DRCs), Points of Distribution (PODs), community outreach locations, and other emergency response or recovery sites. Duties may include conducting outreach, providing information and referrals, coordinating resources, supporting disaster operations, and performing other emergency assignments as directed.
The incumbent may be required to work outdoors in varying weather conditions, stand for extended periods, travel throughout affected areas, and lift or move materials weighing up to 15 pounds in support of disaster operations.
Administrative Support & Other Duties Assigned - Provides administrative, operational, and project support necessary to ensure the effective and efficient functioning of the Division of Elder Opportunities. Assists with coordinating information, tracking assignments, maintaining records, scheduling meetings, and supporting Division activities and special projects as needed.
Serves as backup support for Division operations and assists with workload management during periods of increased operational demand, staff absences, emergencies, or special assignments. Participates in required meetings, training programs, professional development activities, and workgroups to maintain knowledge of Department programs, policies, procedures, and emerging issues affecting older adults.
Demonstrates professionalism, initiative, sound judgment, adaptability, and a commitment to customer service while performing assigned duties. Performs other related duties, special assignments, and emerging priorities as assigned by Division leadership in support of Department and Division goals and objectives. Attendance is an essential function of this position.
KNOWLEDGE, SKILLS, AND ABILITIES:
Ability to communicate effectively with others, utilizing active listening, information gathering, organizational skills, critical thinking, time management, problem identification, and resolution. Possess strong written and oral communication skills, using correct grammar, punctuation, and spelling. Detail-oriented and able to enter data accurately into a computerized system.
Ability to prepare clear, concise, and accurate records, reports, correspondence, and other documentation in a logical format within established timeframes.
Ability to navigate multiple computer screens, applications, and online research engines. Basic proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, FLAIR, OneDrive, SharePoint, Adobe, and Adobe Pro, and other internal and external platforms and Department operational systems used in the day-to-day activities of the Division of Elder Opportunities.
Ability to demonstrate a professional and courteous demeanor. Ability to establish and maintain cooperative working relationships with the public and staff. Ability to work independently and with teams at the unit and agency, where appropriate.
Ability to review, analyze, and evaluate data and process travel documents.

REQUIREMENTS:
Florida Contract Manager Certification (FCCM),
Valid Florida driver’s license
Relevant project management, community outreach, emergency management, public administration, communications, or related certifications preferred.
