Medical Office Staff – Multiple Full-Time Openings

Positions Available:

Early Hours Receptionist – Ambulatory Surgery Center
Front Desk Receptionist – Gastroenterology Clinic/Office
Medical Records Specialist – Gastroenterology Clinic/Office

Locations: Leesburg and Lady Lake, Florida
Pay: $16.00–$18.00 per hour, based on experience
Job Type: Full-time
Schedule: Monday–Friday

Job Summary

We are hiring dependable, organized, and patient-focused professionals for three full-time positions within our busy gastroenterology practice and ambulatory surgery center.

Successful candidates will provide excellent service, maintain accurate patient information, and help our clinical and administrative teams operate efficiently. We are seeking reliable individuals who work well with others and can remain professional and organized in a fast-paced healthcare environment.

Experience using eClinicalWorks (eCW) is required.

Available Positions and Schedules

1. Early Hours Receptionist – Ambulatory Surgery Center

Schedule: Approximately 5:30 a.m.–2:00 p.m., Monday–Friday

The schedule may vary based on the daily surgical case schedule. Candidates must be dependable and comfortable beginning work as early as 5:30 a.m.

Responsibilities:

Open and prepare the reception area for the day’s scheduled procedures
Welcome and check in patients
Verify patient demographics, insurance information, and required documentation
Register patients accurately in eClinicalWorks
Collect co-pays and other patient payments
Coordinate patient arrivals with nurses, physicians, anesthesia providers, and clinical staff
Answer and direct incoming calls professionally
Assist patients and their families throughout the check-in process
Scan, file, fax, and process patient paperwork
Help maintain efficient patient flow
Keep the reception area organized and professional
Protect patient confidentiality and follow HIPAA requirements

2. Front Desk Receptionist – Clinic/Office

Schedule: 8:00 a.m.–5:00 p.m., Monday–Friday

Responsibilities:

Welcome and check in clinic patients
Verify and update patient demographics and insurance information
Register patients and manage appointments in eClinicalWorks
Answer, screen, and direct incoming calls
Schedule and confirm patient appointments
Collect co-pays and process patient paperwork
Communicate with providers and clinical staff regarding patient needs
Assist with scanning, filing, faxing, and other administrative tasks
Maintain an organized and professional front desk
Support efficient patient flow throughout the clinic
Protect patient confidentiality and follow HIPAA requirements
Provide courteous, compassionate service to patients and visitors

3. Medical Records Specialist – Clinic/Office

Schedule: 8:00 a.m.–5:00 p.m., Monday–Friday

Responsibilities:

Process incoming and outgoing medical-record requests accurately and promptly
Retrieve, review, scan, index, and upload records in eClinicalWorks
Ensure documents are filed in the correct patient charts
Respond to requests from patients, providers, hospitals, insurance companies, attorneys, and other authorized parties
Verify that valid authorizations are obtained before releasing protected health information
Prepare records for secure electronic delivery, faxing, mailing, or patient pickup
Track outstanding requests and follow up as needed
Maintain accurate medical-record logs and documentation
Assist with chart preparation, record reconciliation, and document management
Identify and correct missing or misfiled documentation
Follow HIPAA requirements and all applicable privacy and confidentiality procedures
Assist with phones, scanning, filing, faxing, and other office duties as needed

Qualifications

At least one year of medical office, medical receptionist, or medical records experience required
Experience using eClinicalWorks (eCW) required
Previous experience in an ambulatory surgery center, endoscopy center, hospital, or specialty medical practice preferred
Excellent communication and interpersonal skills
Strong attention to detail and organizational ability
Ability to multitask and prioritize responsibilities in a fast-paced environment
Professional, dependable, punctual, and team-oriented
Working knowledge of HIPAA and patient confidentiality requirements
Knowledge of medical terminology and insurance verification is a plus
Early Hours Receptionist candidates must be available for a 5:30 a.m. start time
