Overview

We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our office environment. This vital role ensures smooth administrative processes, maintains an efficient workspace, and supports our team with exceptional customer service. The ideal candidate will bring a proactive attitude, excellent organizational skills, and technical proficiency to foster a productive and welcoming office atmosphere. Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy.
Oversee office administration tasks such as data entry, filing, calendar management, and document proofreading to ensure accuracy and efficiency.
Handle purchasing for all job related equipment
Maintain warehouse inventory
Utilize productivity software such as Microsoft Office, spreadsheets, and Word processing tools to prepare reports, correspondence, and presentations.
Maintain office supplies inventory, coordinate maintenance requests, and ensure the workspace remains organized and functional.
Support client communication efforts by providing excellent customer service and addressing inquiries promptly via phone or email.
Assist with scheduling appointments
Demonstrate technical proficiency in computer literacy, office management software, and familiarity with multi-line phone systems to streamline daily operations.

Qualifications

Proven experience in office management or administrative roles with strong clerical skills.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software.
Experience using QuickBooks or similar accounting software is highly desirable.
Strong communication skills, both verbal and written; bilingual abilities are a plus.
Demonstrated ability to handle multiple responsibilities such as data entry, filing, calendar management, and customer support efficiently.
Previous experience working in a professional office setting or as a receptionist or personal assistant is advantageous.
Exceptional phone etiquette with experience managing multi-line phone systems and providing outstanding customer service.
