Full Job Description

We are a family-owned irrigation and landscaping company proudly serving the DFW area, specializing in installing new irrigation and landscaping packages for new home builders. As our company continues to grow, we are excited to add a new member to our team! We are looking for an invoicing coordinator to join our office. This is a dynamic position for someone who is organized, dependable, detail-oriented, and comfortable using computers and technology.

We're looking for someone who enjoys keeping things organized and takes pride in being a key part of our team's success. In this role, you'll manage a high volume of job and repair invoices in QuickBooks, helping ensure projects are billed accurately and payments are received on time. You'll become familiar with the unique invoicing requirements of each of our builder and customer accounts, making accuracy and attention to detail essential. No two days are exactly alike, so the ideal candidate is someone who enjoys a fast-paced environment, can confidently manage multiple priorities, and thrives on staying organized while delivering high-quality work.

This is an in-office position (not remote/work from home). The right candidate will be a reliable team player who enjoys being part of a growing company and wants the opportunity to grow with us.

What you'll do:

Creating and submitting invoices for: Irrigation, Sod and Landscape installs
Creating and submitting invoices for: Irrigation, Sod and Landscape repairs and service
Creating and following up on bids for new irrigation, sod and/or landscaping jobs
Creating and submitting bids for new irrigation, sod and/or landscaping job
Creating Docusign contracts from accepted bids.
Working with scheduling coordinator for contracted jobs
Following jobs from bid to contract to install.
Intaking payments & down payments for invoices and bids/contracted jobs.
Scheduling service calls via: telephone, e-mail, text message, supplypro
Communicate with customers and vendors in a professional, friendly manner
Maintain database of customers
Filing & Creating New Files
Data Entry
Scanning/Saving documents as needed

What were looking for:

Knowledge of Office Technology (Computers, Printers, Scanners, etc.)
Knowledge of Kofax (a plus but not required)
Knowledge of Microsoft Office (Outlook)
Knowledge of Quickbooks Pro (a plus but not required)
Knowledge of Filemaker Pro Advanced (a plus but not required)
Great Multitasking abilities and problem solving skills
At least 40 WPM (typing test may be required)
Organization skills a must
Friendly phone demeanor
Dependability & Reliability
Team Player

Hours:

Monday - Thursday: 8:00am - 5:00pm (1 hour lunch)

Friday - 8:00am - 3:00pm (1 hour lunch)

No weekends required.

Pay: Starting at $17/hour while training with room to grow. Raise will occur after fully trained on position. Paid weekly. Bonuses twice a year for excellent job performance.

After 30 days of full time employment, medical insurance is offered with 100% paid for employee and 50% paid for employee spouse and/or child(ren). Upgraded medical plans available for additional fee paid by employee.

After 6 weeks of employment, childcare allowance is offered. (with work hours requirement)

After 6 months of employment, 401k is offered.

After 1 year of Employment: Paid Holidays, Vacation & Sick Time.
