Overview

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Manage multi-line phone systems, directing calls accurately and courteously
Handle incoming and outgoing correspondence, including emails, mail, and packages
Maintain organized filing systems, both physical and digital, for easy retrieval of documents
Assist with data entry tasks using spreadsheets and productivity software to support office operations
Schedule appointments, coordinate meetings, and manage calendar updates for staff members
Support office management tasks such as supply inventory, ordering materials, and maintaining office equipment
Utilize QuickBooks for basic bookkeeping functions when needed
Provide clerical support including word processing, proofreading, and document preparation
Offer excellent customer service by addressing inquiries promptly and professionally

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tools
Strong computer literacy with the ability to quickly adapt to new software applications
Excellent organizational skills with keen attention to detail and accuracy
Effective phone communication skills with proper phone etiquette across multi-line systems
Bilingual abilities are a plus to assist diverse client needs
Previous office experience or administrative experience preferred to ensure smooth onboarding
Knowledge of QuickBooks or similar accounting software is advantageous
Exceptional time management skills to prioritize tasks efficiently in a busy environment
Strong organizational skills to manage calendars, appointments, and filing systems effectively
Ability to perform clerical duties such as proofreading documents and maintaining filing systems accurately
Customer service orientation with a friendly attitude towards clients and visitors
