Full Job Description

Overview

We are seeking a dynamic and highly organized Administrative Coordinator to join our team! Under the supervision of the Program Director and the South-Central Louisiana Human Services Authority (SCLHSA) Clinic Manager, the Administrative Coordinator contributes to the efficient and orderly operation of the South-Central Louisiana Human Services Authority (SCLHSA) Behavioral Health clinics and/or Administrative Office by providing administrative and clerical support to the program.

Essential Job Functions:

Conduct orientation and screening on new clients and annually thereafter.
Perform accounting duties, prepare deposits, and balance all money collected. Post all deposits to the check register. Post payments received from clients in eClinicalWorks (eCW). Retrieve monthly reports from eCW as instructed.
Provide clerical support, including but not limited to typing, filing, data entry, copying, and other documentation at the direction of the SCLHSA Clinic Manager. Answer phones and route appropriately.
Conduct pre-appointment audit duties, screenings, check clients in and out, and file client charts. Complete insurance benefits check.
Correct billing errors. Send requests for billing statements.
Review time records. Using SCLHSA Electronic Health Record eCW, to document all client encounters and maintain patient records.
Ensure the confidentiality of all clients and Agency information.
Serve as a backup to the front desk employee with answering the multi-line telephone system as needed, in the absence of the front desk employee or at the request of the SCLHSA Clinic Manager.
Assist clinic and administrative staff with special projects and provide specific administrative support when requested by the SCLHSA Clinic Manager.

Other Responsibilities:

Maintain positive relationships with funding and regulatory agencies and community resources.
All services provided are documented concurrently and locked within 48 hours.
All services are delivered on-site at the assigned clinic, 40 hours per week.
Services provided in accordance with SCLHSA Policy & Procedure Manual and productivity guidelines.
Attends and participates in general staff and specialized meetings, as required.
Performs similar job-related duties, as assigned.

Knowledge, Skills and Abilities:

High School Diploma or GED and a minimum of one (1) year of clerical/accounting work experience.
Excellent data entry and computer skills, with good working knowledge of Microsoft Office, including Word, Excel, and Access. Ability to organize and prioritize work, multitask, and meet deadlines.
Good verbal, written, and interpersonal skills, the ability to represent the Agency in a highly professional manner, and to maintain the highest level of confidentiality.
Good judgement, initiative, dependability, sound decision-making skills, the ability to handle multiple responsibilities, strong organizational and time management skills, and the ability to prioritize work and meet multiple deadlines.
Ability to work independently on assigned tasks and to work collectively with the clinic and administrative teams.
A valid driver's license per Louisiana law, access to a properly registered, inspected, and insured vehicle in safe operating condition.
Ability to pass a criminal record background check, drug screening, and Louisiana motor vehicle record check.
