Job Overview
We need additional support for the office administrator.

Duties

Greet visitors warmly and professionally, ensuring a positive first impression
Manage phone systems, directing calls accurately and courteously
Handle incoming and outgoing correspondence, including emails, mail, and packages
Maintain organized filing systems—both physical and digital—using tools like Dropbox
Schedule appointments, manage calendars, and coordinate meetings for staff or clients
Support office management tasks such scanning and organizing client documents
Provide exceptional customer service by addressing inquiries promptly and professionally
Proofread documents for accuracy and clarity before distribution
Assist with clerical duties like photocopying, scanning, and filing important documents

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with phone systems and phone etiquette standards
Ability to handle data entry accurately and efficiently in a fast-paced environment
Excellent customer service skills with a friendly demeanor; bilingual abilities are a plus
Strong time management skills to prioritize tasks effectively throughout the day
Experience with QuickBooks or bookkeeping is advantageous for handling financial records
Personal assistant or calendar management experience helps in coordinating schedules smoothly
Computer literacy across various platforms to streamline administrative workflows
