Job Summary:

The Human Resources Coordinator supports the full employee lifecycle by delivering timely, compliant, and people-centered HR services. This role partners with leadership and employees to ensure accurate payroll and benefits administration, regulatory compliance, employee engagement, and HR operational efficiency.

Supervisory Responsibilities:

None

Essential Duties & Responsibilities

1. Employee Lifecycle Administration Support

Coordinate onboarding and offboarding processes.
Prepare offer letters, new hire paperwork, and separation documentation.
Conduct new hire orientations and ensure completion of I-9 and compliance documentation.
Maintain accurate employee records in HRIS.
Support performance review cycles and documentation tracking.

2. Payroll & Benefits Support

Assist with payroll preparation and review for accuracy.
Track and reconcile PTO, leave balances, and wage changes.
Administer benefits enrollments, changes, COBRA notifications, and open enrollment.
Respond to employee benefit inquiries.
Coordinate with vendors (401(k), medical, etc.) and support compliance reporting.

3. Leave Administration Support

Administer FMLA, CFRA, ADA accommodations, and other leave programs.
Track leave usage and ensure compliance with federal and state regulations.
Communicate clearly with employees and managers regarding leave timelines and documentation.

4. Compliance & Risk Management Support

Maintain compliance with federal, state, and local employment laws.
Support audits (benefits, payroll, workers’ compensation, 401(k)).
Maintain required postings and regulatory notices.

5. Employee Relations Support

Serve as first point of contact for HR inquiries.
Support investigations, documentation, and follow-up on workplace concerns.
Provide guidance to managers on policy application and documentation best practices.

6. HR Metrics & Reporting Support

Maintain HR dashboards (turnover, time-to-fill, PTO usage, engagement scores, etc.).
Support reporting aligned with financial and operational goals.

7. HR Operations & Systems Support

Maintain HRIS accuracy and data integrity.
Support HR ticketing system and ensure timely response to employee requests.
Develop and update SOPs for HR processes.
Assist with implementation of HR technology and process improvements.

8. Office Coordination Support

Serve as back-up to Office Manager - Welcome visitors, answer incoming calls, and serve as the first point of contact at the front desk.

9. General Responsibilities

Performs other related duties as assigned.

Preferred/Will Train

Strong knowledge of employment law and compliance requirements.
Proficiency in HRIS systems (e.g., Paycom, ADP, etc.).
Strong Excel skills and ability to work with HR metrics.
Payroll Fundamentals.

Education and Experience:

High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.
At least three years of administrative preferred and clerical experience required.

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
0-10% of travel required currently.
