Join Our Team!

Urban Trauma Counseling Center (UTCC), an outpatient mental health clinic located in Windsor Mill, Maryland, is seeking a professional, organized, dependable, and client-focused Office Administrator – Client Relations to join our growing team.

This is an excellent opportunity for someone who enjoys working with people, thrives in a fast-paced healthcare environment, and takes pride in providing exceptional customer service.

As the Office Administrator – Client Relations, you will be one of the first points of contact for new and existing clients and will play an important role in their overall experience with Urban Trauma Counseling Center.

The ideal candidate is warm and professional, highly organized, detail-oriented, comfortable with technology, and able to balance client service with the administrative demands of a busy behavioral health practice.

This is a non-clinical administrative position and does not involve providing therapy, conducting clinical assessments, diagnosing clients, or making clinical treatment recommendations.

What You'll Do

Responsibilities include, but are not limited to:

Serve as a primary point of contact for new and existing clients
Answer incoming calls, respond to inquiries, and route messages to appropriate team members
Schedule new client appointments and assist existing clients with follow-up appointments
Conduct new-client welcome calls and explain administrative intake requirements
Create and maintain client records in the Electronic Health Record (EHR)
Enter and update client demographic, contact, insurance, and other administrative information
Verify insurance eligibility and benefits
Obtain updated insurance cards, identification, and required client documentation
Communicate copayments, deductibles, coinsurance, and other known financial responsibilities to clients
Collect copays, deductibles, self-pay fees, outstanding balances, and other client payments
Monitor client accounts for missing documents, signatures, insurance information, identification, and other required information
Follow up with clients regarding incomplete registration or administrative requirements
Assist with appointment confirmations, cancellations, rescheduling, no-shows, and client re-engagement
Maintain accurate and timely documentation of administrative client communications
Communicate client concerns, scheduling issues, insurance concerns, and billing matters to the CEO, Clinical Director, clinicians, billing personnel, or other appropriate staff
Assist with maintaining organized and efficient front-office operations
Support office administrative projects, tracking, reports, and day-to-day operational needs
Maintain strict client confidentiality and comply with HIPAA and UTCC policies
Participate in staff meetings and administrative trainings as required
Perform other administrative duties as assigned

What We're Looking For

Our ideal candidate will have:

High school diploma or equivalent required
Associate's or bachelor's degree in healthcare administration, business administration, human services, or a related field preferred
Previous administrative, medical office, behavioral health, healthcare, client relations, or customer service experience preferred
Experience working in a mental health or behavioral healthcare environment strongly preferred
Experience with Electronic Health Record (EHR) systems preferred
Knowledge of insurance verification, eligibility and benefits, copays, deductibles, and client financial responsibility preferred
Strong computer and data-entry skills
Excellent verbal and written communication skills
Exceptional organizational and time-management skills
Strong attention to detail and accuracy
Ability to manage multiple responsibilities and priorities
Professional and compassionate communication skills
Ability to work with clients who may be experiencing stress or emotional distress
Strong judgment, professionalism, and ability to maintain appropriate boundaries
Ability to protect confidential and sensitive information
Dependability, initiative, and consistent follow-through
Ability to work effectively both independently and as part of a team

Compensation

Salary is commensurate with experience, education, qualifications, and relevant healthcare administrative experience.

Candidates with previous behavioral health, medical office, insurance verification, EHR, billing, and client relations experience may be considered for compensation at the higher end of the established salary range.
