Overview

We are seeking an energetic and personable Front Desk Staff member to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative processes. Your enthusiasm and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily business functions in a dynamic environment.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Answer and direct incoming phone calls using multi-line phone systems with professionalism and courtesy
Manage front desk activities including scheduling appointments, maintaining visitor logs, and handling mail distribution
Perform clerical duties such as filing, data entry, proofreading documents, and word processing using Microsoft Office tools
Assist with office management tasks like organizing supplies, maintaining cleanliness, and supporting administrative projects
Provide customer support by addressing inquiries accurately and efficiently via phone or in person
Support personal assistant functions such as calendar management, appointment setting, and document preparation

Skills

Bilingual abilities are highly desirable to effectively communicate with diverse clients and visitors
Proven office management experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and general computer literacy
Excellent phone etiquette with experience handling multi-line phone systems and phone reception duties
Strong clerical skills including filing, typing, proofreading, and document formatting
Exceptional customer service skills with the ability to communicate clearly and professionally
Demonstrated time management skills to prioritize tasks efficiently in a fast-paced environment
Previous office or administrative experience is preferred; personal assistant experience is a plus
